Job Description
MAJOR RESPONSIBILITIES:
- Collect, review, and verify student clinical compliance documentation, including but not limited to: Physical examinations, Immunization records, CPR certification, Drug screen results, Criminal background checks, TB testing, and other program-specific requirements
- Track compliance deadlines and notify students of missing or expiring documentation.
- Maintain accurate and confidential student records in designated compliance management systems, databases, and shared platforms.
- Communicate compliance requirements clearly to students, faculty, program chairs, and clinical partners.
- Serve as a primary point of contact for student questions related to clinical compliance requirements and processes.
- Ensure adherence to clinical site, accrediting agency, state, and institutional policies.
- Generate reports and conduct audits related to student compliance status as requested.
- Collaborate with program leadership and clinical partners to resolve compliance issues or exceptions.
- Assist with onboarding processes for students entering clinical programs.
- Update, track, and maintain clinical affiliation agreements to ensure accuracy, currency, and compliance with institutional and partner requirements.
- Conduct clinical site visits to support partnership quality, verify requirements, and maintain effective working relationships.
- Stay current on evolving clinical compliance requirements, regulations, and best practices.
- Support continuous improvement of compliance workflows and documentation processes.
EDUCATION AND EXPERIENCE:
- Associate’s degree required; Bachelor’s degree preferred in healthcare, health sciences, or a related field
- Working knowledge of medical terminology and healthcare documentation requirements
- Strong organizational skills with the ability to manage multiple deadlines
- High level of attention to detail and accuracy
- Ability to handle confidential information professionally and ethically
- Strong written and verbal communication skills
- Proficiency with Microsoft Office, Google Workspace, and database systems
- Ability to work independently and collaboratively in a fast-paced environment
Preferred Qualifications:
- Experience working in higher education, healthcare, or clinical education programs
- Familiarity with clinical compliance management systems (e.g., CastleBranch, Complio, Exxat)
- Knowledge of FERPA, HIPAA, and clinical regulatory standards
- Experience coordinating with clinical partners or external agencies
Work Environment
- Frequent interaction with students, faculty, staff, and clinical partners
- Periods of increased workload aligned with academic start dates and clinical onboarding cycles
