General Definition and Scope of Job for Site Lead

The Site Lead plays the key role in each dental site to ensure smooth and efficient dental operations that serve the community needs. The Site Lead is responsible for all the daily activities within the facility including direct supervision of staff, scheduling and patient flow, handling patient issues, supplies, equipment maintenance, and communication within the facility and within the HCCH organization. Other administrative duties include evaluation of staffing needs and performance, production and billing, and meeting regulatory guidelines. This person will work with and communicate regularly with the Dental Manager and the Chief Dental Officer regarding needs for the dental site and positive outcomes. This position will require community outreach involving agencies, other non-profits, schools, community colleges to help in providing services, but also in recruitment of future support staff.

Work Hours: 40 hours

Work Site: Primary Clinic Assignment as Defined by Contract, travel will be required for meetings and other activities.

Site Lead duties include:

  1. Supervise dental front desk, dental assistants, and dental hygienists, including day-to-day operations, employee hiring, new employee orientation, employee scheduling, employee training, performance evaluations, performing duties as allowed by the NC Dental Statues, and disciplinary action;

  2. Promote teamwork;

  3. Facilitate communication up and down the chain of command;

  4. Arrange for coverage for positions during planned and unplanned absences;

  5. Assign business office tasks to clinical personnel during their free time;

  6. Schedule and conduct daily dental team meetings to discuss the schedule, treatment, and

patients;

  1. Oversee contracted HCCH staff (including front desk and scheduling);

  2. Oversee dental students and volunteers;

  3. Review the schedule with the attending Dentist and/or front desk to ensure they are meeting their goals and the

goals of the site the day before they work;

  1. Ensure smooth and timely patient flow;

  2. Ensure timely and appropriate response to patient calls;

  3. Promote quality patient-centered care;

  4. Respond to patient complaints;

  5. Oversee implementation of dental front desk policies and procedures;

  6. Facilitate communication and problem solving between dental front office staff, dental staff and providers, and the leadership team;

  7. On a limited basis, fill in as dental assistant when needed by the dental provider or a dental hygienist (if applicable) when the hygienist is out;

  8. Perform dental assisting or dental hygiene (if applicable) duties as defined by the job description for those roles when necessary.

  9. Order and manage all dental supplies for dental sites;

  10. Ensure all equipment is in good working order and coordinate repairs;

  11. Perform regular equipment maintenance to meet protocols;

  12. Maintain records of equipment repairs, serial numbers, purchase dates, and information;

  13. See that the dental office is properly opened in the morning, and closed and secured in the evening;

  14. Ensure the office is properly cleaned and maintained.

  15. Ensure dental fiscal procedures are implemented accurately, including proper patient

financial eligibility determination and billing, end of day processes, deposits, etc.;

  1. Approve individual patient payment plans;

  2. Promote revenue enhancement and cost savings throughout the operation;

  3. Stay up-to-date on billing and coding requirements, and train providers, front desk staff,

C.0.0., and C.F.O. on coding which maximizes reimbursement;

  1. Ensure regulatory and CDC recommended guidelines are being followed by the staff including: infection control policies and protocols, maintain the SDS Manual, check radiation badges monthly, HIPPA protocols, etc.

  2. Prepare materials for and participate in a monthly Admin Meeting with the other Site Leads and Dental Manager. This includes daily patient appt. numbers, # of new patients, ratio of patients, BA/CA rate, production for each provider, and collection percentages.

  3. Work with community agencies and schools to promote services and encourage new patient programs; work with HCCH administrative staff especially the Human Resource Recruiter to identify potential dental hygienists, assistants, or front desk staff for the site.

  4. Other tasks as requested by dentist(s), Dental Manager, or Chief Dental Officer.
