Job Description

Job Title: Communications Coordinator ILocation: Culver City - 8900 Venice Boulevard, CA 90232Pay rate: $30.00 - $32.00/hrWork schedule: Full-Time | 5 days per week (40 hours).

  • Hybrid Structure: Operates on a hybrid model requiring 3 days on-site per week at the Ivy Station office.

  • Overtime Requirements: Overtime is expected. Periodic weekend and on-call availability is required alongside weekday evening attendance for Red Carpet Premiere Events.

The Communications Coordinator I supports entertainment publicity campaigns across a diverse catalog of multi-genre television titles, including drama, comedy, late-night, and special programming. Working in a close-knit, collaborative, and bi-coastal environment with media relations teams, this hands-on role helps execute press days and high-profile marketing initiatives. The position acts as an operational anchor for publicity workflows, balancing digital asset management and corporate logistics with direct talent and media interactions.

Job Specifications

Key Responsibilities

  • Show Asset Management: Help manage and distribute campaign asset requirements, including promotional photos, video clips, episodic loglines, talent bios, and official headshots.

  • Press Material Development: Draft foundational publicity materials, including formal press releases, media alerts, and ongoing editorial content.

  • Talent Coordination & Care: Formulate complex travel arrangements and custom itineraries for talent. Coordinate and schedule professional glam services for high-profile individuals.

  • Special Event Logistics: Assist with the active planning, physical staffing, backend logistics, and media relations for prominent press events (e.g., Upfronts, Comic-Con, TCA tours, press junkets, photo shoots, promotional trips, film festivals, premiere red carpets, and awards show carpets).

  • Database & Contacts Upkeep: Build, organize, and update press contact lists, master media directories, and targeted editorial calendars.

  • Campaign Coverage Analytics: Compile, track, and format multi-platform show campaign coverage reports to evaluate public relations efficacy.

  • Financial Administration: Assist in tracking ongoing show publicity budgets, auditing expenditures, and processing vendor invoices.

  • Operational Maintenance: Keep departmental and team calendars updated with ongoing publicity timelines. Organize bulk physical and digital press mailings. Participate in creative department brainstorms and team-wide PR meetings.

Must Have Skills / Requirements

  • Entertainment Publicity Background: 1+ years of direct experience operating within entertainment publicity, showing a clear functional understanding of the entertainment press corps, industry trends, and social media ecosystems.

  • High-Profile Communication: 1+ years of excellent verbal, written, and interpersonal communication skills. Proven capacity to interact professionally with high-profile individuals, including actors, directors, producers, and senior journalists.

  • Deadline-Driven Organization: 1+ years of demonstrated organization and prioritization skills to handle multiple moving projects simultaneously in a fast-paced, deadline-driven media environment.

  • Discretion & Professionalism: Good judgment and a proven ability to manage confidential corporate or talent information with strict discretion.

  • Technical Software Skills: Advanced operational proficiency utilizing Microsoft Office applications (Outlook, Word, Excel, and PowerPoint).

Preferred Qualifications (Nice to Have)

  • Deep functional familiarity navigating major consumer social media platforms (specifically TikTok, Instagram, and X).

  • Prior history as a former internal corporate intern within a media or entertainment space.

  • A cumulative GPA above 3.0 from an accredited university.

Education & Experience

  • Experience: 1+ years of entertainment publicity, public relations, or media agency experience.

  • Education: Bachelor's Degree or equivalent experience is preferred.

Term: 1-Year Contract Assignment Assignment Duration: 07/06/2026 to 07/06/2027 (Extension or full-time conversion is possible based on performance and business evolution).

Interview Process

  1. Round 1: Initial virtual interview with the Hiring Manager and Director.

  2. Round 2: Secondary virtual interview with the Director and team Coordinator.

  3. Round 3: Potential final-round evaluation with the Vice President (VP).
