This position is ideal for someone who enjoys building relationships, delivering exceptional customer service, and helping clients feel welcomed and supported from their very first interaction. The Communications Specialist serves as a key point of contact for prospective and current clients, ensuring every interaction is handled professionally, efficiently, and with a high level of care. The ideal candidate is friendly, organized, detail-oriented, and confident communicating both in person and over the phone.RequirementsQualified candidates should:

• Have a minimum of 2 years of customer service experience
• Possess strong communication and interpersonal skills
• Be able to manage multiple phone lines and prioritize tasks effectively
• Maintain a professional demeanor with a positive and outgoing personality
• Demonstrate strong problem-solving skills and attention to detail
• Be comfortable working in a fast-paced office environment and meeting deadlines
• Have strong organizational and multitasking abilities
• Experience using Smokeball software is a plus

ResponsibilitiesAs a Communications Specialist, you will play a critical role in creating a positive experience for clients and prospective clients while supporting daily office operations. Responsibilities include:

• Answering incoming calls and responding to emails professionally
• Routing communications to the appropriate team members
• Providing a VIP-level customer experience to clients and prospects
• Building rapport with new contacts and scheduling consultations
• Ensuring qualified new client inquiries are scheduled or connected with an attorney
• Managing follow-up systems for prospective clients
• Maintaining accurate call logs, task lists, and communication records
• Supporting daily office operations while maintaining high professional standards
• Assisting with client communication workflows and appointment coordination
