Compliance Assistant (Insurance Focus)

Note: This is not a credit, financial, or banking-related risk position. This role focuses on subcontractor insurance compliance, claims support, and safety documentation for a national facility services company.

As a Compliance Assistant at Ferrandino & Son, you’ll play a vital role in supporting our operational risk and compliance efforts, specifically related to subcontractor insurance, safety initiatives, and claims support. You’ll ensure our contractors meet insurance requirements, track documentation in internal systems, and assist with safety and claims processing. 

You'll work closely with our Risk, Safety, and Operations teams, manage shared department inboxes, and ensure documentation is accurate and up-to-date. The ideal candidate will be detail-oriented, able to work independently, and comfortable communicating with subcontractors and internal departments across various channels.

Key Responsibilities:

• Review, track, and manage insurance documentation for subcontractors

• Communicate with subcontractors, partners, and internal teams to resolve compliance issues

• Maintain accurate spreadsheets, systems, and claims databases

• Manage shared email inboxes (Claims, COI, Compliance)

• Support safety initiatives, including Motor Vehicle Report monitoring

• Assist in compiling claim reports and large loss summaries

• Organize and label all compliance documentation with attention to detail

• Help review departmental invoices and support related data entry

• Perform other reasonable duties as assigned

What You Bring:

• Associate’s Degree required; Bachelor’s Degree preferred

• Familiarity with general liability insurance documentation and certificates of insurance

• Experience with insurance certificate (COI) tracking, claims processing, or contractor compliance a plus

• Strong Microsoft Office skills, especially Excel (VLOOKUP experience a bonus)

• Excellent organizational and time management abilities

• Strong written and verbal communication skills

• A positive attitude and a willingness to learn and grow

• Ability to work both independently and collaboratively with a team

Job Location:Farmingdale, NY (On-site)

Schedule:Monday to Friday, full-time, standard business hours are 8:30am to 5:30pm

Pay Rate Detail: The base rate for this position is $24.00 per hour.
