- Reviewing technician and field documentation for completeness and accuracy
- Preparing digital job files to meet insurance carrier and program compliance requirements
- Identifying missing information, inconsistencies, or documentation gaps
- Coordinating internally with operations, estimators, project managers, accounting, and subcontractors
- Entering and maintaining accurate customer and job information
- Answering incoming calls and assisting customers professionally and compassionately
- Managing multiple priorities while handling interruptions throughout the day
- Tracking job progress and following up on outstanding items
- Supporting billing and administrative workflows
- Assisting with office organization and daily administrative operations
- Has exceptional attention to detail
- Uses common sense and good judgment
- Is confident asking questions and solving problems
- Can handle repetitive tasks without losing focus or accuracy
- Is dependable and follows through consistently
- Can multitask and shift priorities quickly
- Communicates professionally with customers and coworkers
- Thrives in structured processes while adapting to changing situations
- Takes ownership instead of waiting to be told what to do
- 2+ years of administrative, office, coordination, or customer service experience
- Strong organizational and computer skills
- Ability to work in a fast-paced environment
- Excellent verbal and written communication skills
- Experience handling detailed documentation and data entry
- Ability to work independently while supporting a team environment
- Experience in restoration, construction, insurance, or property claims
- Familiarity with Xactimate, Symbility, or insurance-related software
- Experience managing digital files and compliance documentation
