Position Summary

The Compliance Coordinator is responsible for supporting company compliance programs by maintaining accurate records within DISA, DOT, and other customer-required compliance databases. This role ensures employees, contractors, and company documentation remain compliant with customer requirements, DOT regulations, industry standards, and internal policies.

The position serves as a key administrative resource for managing workforce compliance records, monitoring certification and regulatory status, coordinating testing and training requirements, and maintaining accurate documentation across multiple compliance systems.

Key Responsibilities

Compliance Program Administration

  • Maintain employee compliance records in DISA, DOT, and other compliance management systems.

  • Support DOT regulatory compliance, including drug and alcohol testing programs, random pools, pre-employment screenings, and other mandated testing.

  • Monitor employee participation in required trainings, certifications, and regulatory programs.

  • Track and maintain compliance with company, customer, and regulatory requirements.

  • Coordinate with HR, Safety, and Operations to address compliance gaps or upcoming expirations.

Customer Database Management

  • Maintain company and employee records in various customer compliance databases and contractor management systems.

  • Upload required documentation such as insurance certificates, safety documentation, training records, and regulatory compliance forms.

  • Ensure records are accurate and updated according to customer requirements.

  • Respond to customer requests for documentation or compliance verification.

Reporting and Documentation

  • Generate compliance reports related to employee status, training completion, certifications, and testing requirements.

  • Track upcoming expiration dates for DOT, licenses, certifications, and required documentation.

  • Maintain organized digital records and documentation for audits and compliance reviews.

  • Assist with internal and external compliance audits.

Operational Support

  • Support onboarding compliance requirements for new employees.

  • Assist with coordination of DOT and non-DOT drug screenings, background checks, and required certifications.

  • Work with operations and safety teams to ensure employees are compliant before being assigned to customer projects or job sites.

  • Provide guidance to employees regarding compliance requirements, DOT regulations, and documentation standards.

Qualifications

Education & Experience

  • High school diploma or equivalent required; associate degree preferred.

  • 2–4 years of administrative experience in compliance, safety, HR, or operations support.

  • Experience working with DISA, DOT, or contractor compliance systems preferred.

  • Experience in construction, crane, transportation, or industrial services industries is a plus.

  • ISNET & Avetta experience preferred.

Skills & Competencies

  • Strong organizational and record-keeping skills.

  • High attention to detail and accuracy.

  • Ability to manage multiple databases and compliance systems.

  • Strong communication and coordination skills.

  • Proficiency with Microsoft Office (Excel, Outlook, Teams).

  • Ability to prioritize tasks and manage deadlines.

Working Conditions

  • Primarily office-based with regular interaction with operations, HR, and safety personnel.

  • Occasional coordination with external vendors, testing facilities, and customers.
