Overview

VCBO Architecture is seeking a Contract Specialist / Paralegal to support contract administration and risk management across the firm. This role works closely with firm leadership and project teams to draft, review, coordinate, and track client and consultant agreements, amendments, insurance requirements, and other contract-related documentation.

The ideal candidate is highly organized, detail-oriented, and comfortable navigating contracts while keeping processes moving and helping teams understand and meet contractual requirements.

Key Responsibilities

  • Draft, review, and administer client and consultant agreements for professional design services.
  • Prepare and coordinate contract amendments, extensions, additional services agreements, and related documentation.
  • Work with Principals, project teams, and operations staff to move contracts through review and execution.
  • Track contract requests, amendments, schedule changes, and key contractual obligations.
  • Monitor contract requirements and duration of services throughout the life of a project.
  • Coordinate certificates of insurance (COIs) and other insurance requirements associated with project contracts.
  • Review and interpret contract terms, identify potential concerns, and coordinate with leadership to resolve contract-related issues.
  • Maintain accurate contract records, templates, and supporting documentation.
  • Help develop and improve firmwide contract standards, procedures, and best practices.

Qualifications

  • Experience in contract administration, paralegal work, legal support, or a related field.
  • Experience reviewing, drafting, and administering contracts and related documentation.
  • Knowledge of contract terminology, requirements, and compliance considerations.
  • Strong organization, attention to detail, communication, and problem-solving skills.
  • Ability to manage multiple priorities and work effectively with firm leadership, project teams, clients, and consultants.
  • Ability to handle sensitive and confidential information with discretion.
  • Paralegal training, certificate, or related education preferred.
  • Experience in architecture, engineering, construction, or professional services and familiarity with AIA contracts preferred.
