About the Role
Pneumatic & Hydraulic Company (PHC) supports five operating divisions and is building a standardized contract workflow to improve speed, organization, and risk management.
The Contracts Administrator is responsible for managing the contract process from intake through execution and closeout. This role ensures requests are complete, approvals move efficiently, documents are properly tracked, and executed agreements are stored and accessible.
This position does not provide legal advice. Instead, it ensures the contract workflow runs smoothly so leadership and legal partners can focus on higher-level review and strategy.
Key Responsibilities
Own contract intake and quality control - verify all required details and documentation are included (scope, pricing, counterparty, deadlines, attachments).
Manage and track contract workflow in the Help Desk/ticketing system; update stages and drive next steps through completion.
Maintain document control, including redlines, clean copies, comparisons, and one source of truth.
Coordinate signature routing via DocuSign, Adobe Sign, or similar platforms.
Ensure fully executed agreements are saved, indexed, and easy to retrieve.
Track key terms and obligations such as renewals, termination notice windows, insurance requirements, and critical commitments.
Provide weekly reporting on open contracts, aging items, escalations, and cycle time.
Work cross-functionally with operations, sales, engineering, and leadership to keep contracts moving efficiently.
Qualifications
3+ years of experience in a Contracts Administrator, Contracts Coordinator, Contract Specialist, or similar role.
Familiarity with NDAs, MSAs, and SOWs/Work Orders.
Strong attention to detail and ability to manage multiple priorities.
Excellent written communication and professional email etiquette.
Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams).
Experience with workflow/ticketing systems (Freshdesk, ServiceNow, Jira, etc.).
Experience with DocuSign or Adobe Sign.
Understanding of basic contract risk concepts (indemnity, limitation of liability, insurance) to identify and escalate concerns appropriately.
Preferred:
Experience in manufacturing, industrial services, energy, construction, or equipment rental.
Experience with P21 or similar ERP systems.
Work Environment
Office-based role (primarily seated work).
Light lifting of office supplies.
Closed-toe shoes required at branch offices.
No travel required.
