Job Description
Harbor is seeking an experienced professional to oversee aspects of our vocational programming! This position provides effective guidance to the vocational services team, including administrative, organizational, vocational services responsibilities and training. The position also ensures that vocational services staff present a welcoming face to the organization and provide excellent customer service to patients, customers and visitors.
Position is full-time, 40 hours per week.
Education/Experience/Other Requirements:
- Minimum of Bachelor's degree in counseling, social work or closely related behavioral/mental field from an accredited college or university, plus 1 year vocational rehabilitation experience required; or an Associates' degree plus 3 years vocational rehabilitation experience; or, in lieu of previous requirement, 5 years' experience providing vocational rehabilitation services (i.e. job development, job coaching) to OOD, ODJFS, and/or DBH funding sources.
- Preference given to those with a professional license (CRC, LPC, LSW, LMHC).
- Must be proficient in the use of technology, adept at Windows and Microsoft based programs and able to generate and interpret performance data.
- Must have a commitment to delivering excellent customer service.
- Able to effectively supervise, provide individualized services and motivate staff to achieve maximum results.
- The skills required include strong and effective oral and written communication skills, organizational skills, and time management skills.
- Must have a valid driver's license ,acceptable driving record, and be deemed insurable through Harbor's vehicle insurance carrier.
Essential Job Competencies/Primary Duties:
- Assists with creating an inspiring team environment with an open communication culture and is a champion for excellent customer care.
- Provides personnel supervisory functions for assigned staff including annual evaluations, involvement in hiring, disciplinary actions, etc. Consults with Program Manager and HR for any disciplinary issues.
- Ensures the needs of the client are met with regard to appropriate visit scheduling and payer source eligibility and verification.
- Trains staff, manages, coordinates, evaluates, and supervises all operations within assigned staff.
- Monitors payroll for
- Identifies any issues that impact vocational service resources, proposing solutions and reporting to the IPS Program Manager. Offers suggestions on how the quality of service can be improved.
- Assists with the management of referrals, authorization and report submission for
- Monitors documentation of staff for quality and timely entries (within 48 hours of service).
- Meets with stakeholders to provide updates, successes, and address and issues.
- Provides oversight of daily office functions to insure services are conducted in compliance with company policy and procedures.
- Provides feedback to the IPS Program Manager regarding how to improve the efficiency and efficacy of the vocational services team.
- Ensures customers receive excellent service from the vocational staff in the manner prescribed by the Harbor's customer service standards and takes appropriate action as necessary.
- Assists clients who present with difficulties or unfavorable customer service experiences towards linkage to appropriate staff and/or corrective action. Relays such situations to the IPS Program Manager or other management staff when appropriate.
- Responsible for gathering data and participating in CARF and DBH Fidelity reviews.
- Responsible for administrative duties assigned by the IPS Program Manager.
- Provides troubleshooting and training for computer software in coordination with the IT
- Responsible for ordering and distributing office supplies.
- Attends vocational staff, general staff, and other stakeholder meetings as appropriate.
- Completes weekly case management meetings with each assigned staff member and reports results to the IPS Program Manager.
- Engages in internal and external professional development training as approved by IPS Program Manager.
- Maintains a caseload to meet revenue expectations and fulfills or exceeds unit expectations established by Harbor.
- Must be willing to work flexible hours which may include evenings and/or weekends.
- Required to work at multiple sites and provide services in a community setting.
