This position is based at our corporate office in downtown Austin, TX.
How you will contribute:
The Payroll Manager is responsible for overseeing and ensuring accurate semimonthly payroll processing, managing an offshore payroll resource, and maintaining compliance with payroll tax and benefit-related requirements. This role also owns the administrative and payroll aspects of the company's equity program, including loading new grants, tracking acceptance, and ensuring all taxable events are processed correctly through payroll. The Payroll Manager partners closely with HR, Finance, and Legal to ensure seamless payroll operations and compliance.
Payroll Operations
- Oversee and approve semimonthly payroll processing.
- Ensure payroll accuracy, including wages, overtime, bonuses, commissions, deductions, and taxes.
- Administer off-cycle payrolls and corrections as needed.
- Maintain payroll data, documentation, and audit readiness.
Payroll Tax Compliance
- Manage federal, state, and local payroll tax filings.
- Assist with utilizing payroll tax software to process federal, state, and local tax obligations.
- Resolve tax notices and discrepancies in a timely manner.
- Ensure compliance with evolving payroll regulations.
Benefits Payroll Integration
- Manage payroll-to-vendor integrations for 401(k), HSA, and other benefits.
- Upload and fund 401(k) contributions and assist with nondiscrimination testing.
- Validate benefit deductions and troubleshoot discrepancies.
Equity Compensation Administration
- Load new equity grants (e.g., RSUs, stock options) into the equity system.
- Track and monitor grant acceptance by employees; follow up as needed.
- Partner with Finance/HR to ensure all taxable events (vests, exercises, releases, etc.) are recorded and taxed properly through payroll, and required public filings are completed timely.
- Process equity-related payroll withholdings, reporting, and funding in compliance with IRS and state requirements.
- Reconcile equity-related transactions between payroll, HRIS, and the equity administration platform.
- Maintain documentation and support audits for equity compensation activity.
Employee Support & Collaboration
- Respond to employee questions regarding pay, taxes, deductions, and equity-related payroll matters.
- Collaborate with HR, Finance, Legal, and external partners to support payroll and equity processes.
- Support quarterly and year-end activities, including W-2 review and equity tax reporting.
Process Improvement & Controls
- Maintain and strengthen internal controls for payroll and equity-related transactions.
- Identify opportunities to automate payroll, tax, and equity processes.
- Update payroll policies, standard operating procedures, and training materials.
Qualifications:
- Bachelor's degree in Accounting, HR, Business, or a related field preferred.
- 6+ years of progressive payroll experience with multistate exposure, including tax withholding.
- Strong understanding of payroll tax compliance, benefit integrations, and hands-on experience with tax systems and filing platforms.
- Experience managing offshore payroll teams or external processing partners.
- Knowledge of equity compensation - including RSUs, stock options, vesting, and taxable events.
- Experience with Fidelity Stock Plan Services preferred; familiarity with other equity administration platforms (Carta, Morgan Stanley, E*TRADE) is a plus.
- Demonstrated interest or experience in AI-driven tools and automation to streamline payroll, tax, and equity processes.
- Excellent analytical skills, attention to detail, and cross-functional communication.
- Certified Payroll Professional (CPP) certification preferred; Fundamental Payroll Certification (FPC) considered for candidates actively progressing toward CPP.
