Primary Skills: Workplace Experience & Hospitality (Expert), Customer & Visitor Experience (Expert), Front Desk / Reception & Visitor Management (Advanced), Event Planning & Community Engagement (Advanced), Stakeholder Communication & Office Operations (Advanced)Contract Type: W2 OnlyDuration: 12+ MonthsLocation: Ashburn, VA (Hybrid)Pay Range: $40 - $45 on W2Job Summary: My client is seeking a Workplace Experience Associate to support its Corporate Real Estate (CRE) organization and deliver an exceptional experience for employees, customers, and visitors. This customer-facing role will manage the welcome desk, visitor check-in and security procedures, office services, employee support, meeting room coordination, and workplace communications. The role will also support community engagement and onsite events, including event planning, logistics, communications, promotional activities, budget management, and post-event feedback. A strong hospitality background, excellent communication skills, and the ability to manage multiple priorities are essential.Key Responsibilities:
- Manage the Welcome Desk during business hours, greeting employees, customers, and visitors and ensuring proper sign-in and badging procedures.
- Coordinate visitor check-ins and security procedures using Envoy visitor management, enforce badge-in requirements, and escalate safety concerns appropriately.
- Support meeting room scheduling, equipment, supplies, catering, mail/shipping, deliveries, office ticketing, and general workplace services.
- Provide a welcoming and engaging workplace experience through employee activities, community-building initiatives, and customer interactions.
- Support new hires and visitors with office information, CRE services, wayfinding, policies, and appropriate handoffs to teams such as IT.
- Develop and distribute internal communications using Outlook, Viva Engage, and Office Raven, including office events and workplace information.
- Plan and execute onsite events, managing logistics, budgets, promotional activities, social content, photography, and post-event feedback.
- Coordinate with internal departments and business partners to facilitate communication, collaboration, and timely resolution of workplace requests.
- Maintain a clean, organized, professional, and welcoming reception and workplace environment.
- Strong customer-facing and hospitality experience, with the ability to create a welcoming and professional workplace experience.
- Excellent verbal and written English communication and interpersonal skills.
- Experience managing front desk/reception, visitor check-in, office services, or workplace operations.
- Strong multitasking, organization, follow-up, and problem-solving skills, including handling difficult customers or situations professionally.
- Experience supporting events, employee engagement, communications, or community-building activities.
- Ability to build strong relationships with customers, employees, peers, and business partners.
- Bachelor's degree required.
- Experience with Envoy visitor management or similar visitor/security platforms.
- Experience using Outlook, Viva Engage, Office Raven, and social media platforms for workplace communications.
- Experience managing event logistics, catering, budgets, promotional materials, and post-event feedback.
- Strong hospitality, corporate workplace, or Corporate Real Estate experience.
- 5+ years of relevant experience, particularly in hospitality, workplace experience, customer service, or corporate office environments.
- Social media savvy with the ability to create engaging workplace communications and promotional content.
- Strong safety awareness and ability to understand and execute emergency response procedures.
- Proactive, personable, and highly organized with a strong focus on customer satisfaction and workplace community.
