DATA MANAGEMENT SPECIALIST-OSP

General Responsibilities:

The Data Management Specialist-OSP plays a key role in supporting the Office of Sponsored Programs mission by serving as the initial point-of-contact for incoming funding submissions, including federal, nonprofit, and industry-sponsored proposals. This position is responsible for identifying the type of submission, verifying the presence and completeness of required documents, ensuring the accuracy of provided information, and maintaining overall quality standards prior to formal institutional review and action related to sponsor.

Key Duties & Responsibilities:

  1. Reviews and identifies the type of funding action upon intake and can determine and initiate the action items needed.

  2. Verifies the inclusion of all required components based on sponsor guidelines and internal policy (e.g., budget, scope of work, compliance forms, institutional approvals).

  3. Performs initial quality control checks to ensure accuracy and completeness of system information, including project dates, personnel roles, budget figures, and regulatory requirements.

  4. Communicates with principal investigators, department administrators, and OSP staff to resolve discrepancies or request missing information.

  5. Maintains and updates tracking systems for submissions, awards and post-award activity.

  6. Supports the development and refinement of intake and quality control procedures and templates.

  7. Stays current on sponsor requirements and institutional policies.

  8. Assists in preparing regular reports and metrics on proposal volume and quality issues identified at intake.

  9. Collects and reviews all post-award documentation for externally funded awards, resulting in transmission of complete award package to Grants and Contracts Accounting through myUABResearch.

  10. Reviews, creates, and approves award modifications, verifies compliance approvals, and verifies that all terms and conditions for each new award is updated in myUABResearch while providing a correct, detailed budget allocation for processing.

  11. Performs other duties as assigned.

Salary Pay Range: $50,050 - $81,330

Minimum Requirements:

Bachelor's degree or equivalent experience in research administration, business, public administration, or related field, and five (5) years of related experience required. Work experience MAY substitute for the education requirement.

Preferences:

  • Experience with eRA systems in a higher education setting preferred
  • Experience working in a university or academic medical center setting preferred
