Position Overview:

The Deal Accounting Administrator plays a critical role in supporting the sales, finance, and management teams by ensuring vehicle inventory, deal accounting, funding, OEM registrations, and related accounting schedules are accurate, compliant, and up to date. This position is ideal for a highly organized professional who thrives in a detail-oriented environment and can efficiently move deals through the accounting process while maintaining strong cross-functional communication.

Key Responsibilities:

Inventory & Floor Plan-

Assign and maintain stock numbers for incoming inventory.

Accurately purchase and record new and used truck inventory.

Process floor plan payoffs and assist with floor plan reconciliations.

Deal Processing & Costing-

Book, cost, and finalize vehicle deals within the accounting system.

Post body and service invoices to vehicle inventory.

Issue, monitor, and resolve chargebacks as necessary.

OEM Registration & Warranty Administration-

Submit and track OEM warranty applications.

Register sold units with the appropriate manufacturers.

Ensure registration and warranty documentation is completed accurately and on time.

Funding, Deposits & Commissions-

Post deal fundings and customer deposits.

Review sales commission calculations for accuracy prior to final processing.

Assist in ensuring timely funding and payment of completed transactions.

Reporting, Reconciliations & Team Support-

Maintain and reconcile vehicle sales accounting schedules.

Prepare sales reports and reconciliations as requested.

Collaborate with sales, finance, and management teams to resolve deal-related questions and discrepancies.

Proactively identify and address issues that could delay deal completion.

Qualifications:

Preferred Experience Dealership accounting, vehicle sales administration, or related accounting experience.

Understanding of vehicle sales processes, deal structures, and documentation requirements.

Experience working with accounting software and Microsoft Excel.

Ability to manage multiple priorities in a fast-paced, deadline-driven environment.

Skills & Competencies:

Exceptional attention to detail and accuracy.

Strong organizational and time-management skills.

Ability to prioritize tasks and meet deadlines.

Problem-solving mindset with strong follow-through.

Comfortable working with reconciliations, schedules, and high-volume data entry.

Effective communication skills with sales, finance, accounting, and leadership teams.

What Success Looks Like:

Vehicle deals are booked, funded, registered, reconciled, and closed accurately and on schedule.

Accounting schedules remain clean, balanced, and audit-ready.

Sales and finance teams receive timely support and clear communication regarding deal status.

Missing documentation, costing discrepancies, chargebacks, and registration issues are identified early and resolved efficiently.

Processes are followed consistently to maintain compliance and support operational excellence.

Successful completion of pre-employment background checks and drug screening.
