Position Overview:

The Digital Practice Operations Specialist provides strategic operational management flow for the Digital Consulting service line. This role is responsible for the independent design, implementation, and oversight of business processes that drive departmental efficiency. The Specialist serves as a primary resource for Digital leadership, exercising discretion in resource optimization, vendor relations, and project lifecycle management to ensure maximum productivity.

Responsibilities:

  • Centralize and improve organizational procedures to maximize departmental efficiency and productivity.

  • Provide high-level analysis and support for resource utilization, including forecasting, technology research/testing, and the development of training materials as needed.

  • Oversee the tracking and reporting of prospects, proposals, and win/loss data. Interpret and present pipeline trends to Digital leadership to inform strategic planning.

  • Partner with People Operations and practice leadership to design and lead a comprehensive onboarding program for the Digital team.

  • Manage logistics for onsite and offsite prospect meetings and internal team sessions, including venue selection, meal planning, and reservations.

  • Administer software licenses and technology requirements; evaluate and recommend tools to meet team needs.

  • Manage the tracking and compliance of professional certifications for Digital team members.

  • Serve as the primary point of contact for external partner agreements. Manage compliance with contractual requirements, communication protocols, and mandatory reporting.

  • Provide high-level guidance to project managers to maintain Smartsheet hygiene and departmental standards. Exercise independent judgment to resolve complex scheduling or travel conflicts.

  • Manage special operational projects as requested, maintaining full responsibility for outcomes and alignment with business goals.

  • Perform other duties as assigned within the scope of the practice.

Requirements:

  • Bachelor's degree in Business, Operations, or a related field preferred; or a combination of an Associate's degree and significant, directly related professional experience.

  • 3+ years of relevant experience in business operations, administrative support, project management, or a professional services environment where independent oversight was required.

  • High attention to quality and detail, with a demonstrated ability to interpret data and provide actionable recommendations to leadership.

  • Advanced proficiency in Microsoft Office (specifically Excel) and project management platforms like Smartsheet.

  • Strong organizational and prioritization skills, with a track record of managing complex, high-priority projects from inception to completion.

  • High attention to quality and detail, with a demonstrated ability to interpret data and provide actionable recommendations to leadership.
