Overview
Job Description
- Printing, issuing, and tracking engineering and construction drawings and documents
- Maintaining project files throughout the entire project lifecycle
- Scanning, filing, and distributing controlled communications (e.g., meeting minutes, scope definitions, drawing review comments, QA/QC checklists, etc.)
- Performing project close-out activities, including archiving and folder management
- Completing data entry to support administrative software systems
- Supporting proposal and contract preparation
- Maintaining strong communication within the document control organization and with internal customers
- Supporting Process Operations by scheduling and preparing for design, engineering, and construction meetings
- Managing delivery pickup and tracking for City of Boise documents
- Scheduling and preparing for Business Plan ramp planning
- Operating, maintaining, and stocking print reproduction equipment
- Tracking progress to provide accountability and ensure timely completion of tasks
- Collaborating effectively with team members to deliver results
- Ensuring data accuracy and integrity across all managed documents and systems
- Ability to develop and understand policies, procedures, and department objectives, and apply that knowledge when making decisions
- Excellent teamwork and organizational skills
- Strong written and verbal communication skills
- Self‑starting behavior with the ability to take initiative
- Positive and professional attitude
- Ability to work under pressure and meet deadlines
- Ability to multi‑task and manage concurrent responsibilities
- Proficiency with Microsoft Office Suite
- Ability to stage and load large‑format printers (plotter paper rolls weighing approximately 20–25 lbs.)
- Experience with Design, Engineering, or Design-related environments is a plus
- SharePoint experience is a plus
- Minimum of 2 years of experience in record keeping or general administrative work
- High School Diploma, 2 years of college preferred
