Job Description

Summary

In collaboration with the APP Adult Hematology and Oncology Fellowship program leadership, provide day-to-day administrative support and education coordination for the fellowship program structure and curriculum. Serve as program contact and resource for APP fellow/s and preceptors. Under the direction of Division and Program leadership, coordinate the programmatic activities of the Division’s APP CE accredited events including the Division’s Inaugural 2026 IMPACT: Integration of Multidisciplinary Practice in APP-Driven Cancer Treatment Conference and APP Education Series. Coordinate the Division’s educational program(s) and learner rotations, observership, and student courses by scheduling events, assembling enrollment and education information, and following compliance guidelines.

Primary Responsibilities

  • Independently execute program activities (e.g., educational events, training, learner recruitment, interviews, orientation, schedules, and graduation) and serve as liaison with fellows, learners, program leaders, faculty, administration, other departments, and affiliated institutions.

  • Maintain proficiency in accreditation, board, and institutional requirements. Coordinate and monitor activities related to these requirements to ensure full compliance. Support the designated Program Director/s and leaders related to the requirements from accreditation agencies, national boards, and affiliates.

  • Build and maintain educational resources for the program such as Oasis, Bright Space, MCW Connect, etc. Support the training for new fellows and provide continual support of educational systems. Collaborate with program leadership, course leads, and preceptors to ensure educational materials are updated regularly and made available to APP fellow/s. Assist with scheduling rotations and communication between leads, preceptors, and APP fellow/s.

  • Serve as point of contact for the Division for rotating students, visiting residents, physician observers and other observers. Work with MCW Student Affairs to set and maintain schedules for students performing elective rotations within Hematology and Oncology. For visiting residents and physician observers, work with the Department of Medicine, faculty, MCWAH, and other stakeholders to set and maintain schedules, process paperwork and coordinate all aspects of rotations within the Division

  • Develop and maintain database(s) to track, schedule, and record activities related to the APP fellowship and education program/s and learners. Provide information, support, and problem solving on a wide range of issues for leaders, faculty, staff, and learners.

  • Create brochures, flyers, handbooks, and other educational materials.

  • Coordinate assessment and evaluation activities.

  • Arrange speaker travel, accommodations, honorariums, itineraries, and site visits as needed for CE events and enduring program.

  • Manage program budgets and monitor/solicit exhibitor revenue for CE event.

  • Onsite lead/coordination of events and enduring programs.

Qualifications

Appropriate experience may be substituted for education on an equivalent basis.

Minimum Required Education:Bachelor's degree

Physical Requirements

Work requires occasionally lifting moderate weight materials, standing, or walking continuously.

Work Environment

Occasional exposure to dust, noise, temperature changes, or contact with water or other liquids. Work is performed in an environmentally controlled environment.

Sensory Acuity

Ability to detect and translate speech or other communication . May occasionally require the ability to distinguish colors and perceive relative distances between objects.
