ELECTRONIC FILING SUPERVISOR

LOCATION: Judicial Branch Service Center, Lewiston

The Job:
This is a highly responsible supervisory position providing technical and procedural supervision to the File and Serve Specialists and assistance to support electronic filers. The File and Serve supervisor oversees the review of electronic filings for compliance with the Maine Rules of Electronic Court Systems and provides support to individuals who are electronically filing using EFileME. Additionally, the File and Serve Supervisor assists the File and Service Specialists and clerks with questions and case processing. The File and Serve group plays a vital role in supporting and implementing the new Court Case Management and eFiling system for the Maine Judicial Branch. Knowledge and experience in supervision, clerk case processing procedures and in the organization and functions of the Judicial Branch are required. An important aspect of this position is ability to work closely with Maine Judicial employees, members of the public, and requires extensive use of various computer systems and office equipment, as well as knowledge of basic office procedures. Remote work is a possibility. Possibility of State wide travel.
Salary Range:
Grade 13, $27.04 - $36.62 per hour.

Responsibilities:
Oversees the processing of electronic filings into the File and Serve Review Queues.
Supervise, train, and monitor the work of the File and Serve Specialists.
Develop and implement best practices.
Make recommendations for improvement to the Electronic Services Manager, the Director of Court Operations and the Project Management Team.
Document and report any concerns with the system.
With the Electronic Services Manager, develop and provide trainings to electronic filers.
Assesses competing priorities in the workplace and implements constructive solutions.
Provides responsive, timely, fair and positive customer service.
Reviews the File and Serve queues for the processing of all electronically filed cases within the necessary timeframes.
Checks and reviews incoming and outgoing documents for completeness and accuracy of information; assigns general case categories and processes documents as required in accordance with court rules.
Assigns docket numbers and records information as required in electronic cases.
Files court records using chronological, alphabetical and numerical filing systems; retrieves and produces for public inspection any non-confidential paper filed documents maintained by the Maine Judicial Branch.
Understands, models and oversees compliance with all court policies.
Answers inquiries and furnishes information by reviewing court records
Processes electronically filed cases as necessary in the court Case Management System (CMS), including but not limited to: prepares notices, orders and decrees, correspondence, hearing and trial lists.
Answers telephone, responds to electronic communication, prepares copies and assists the public in electronically filed cases.
Assists judges as appropriate and necessary.
Performs related work as required.
We're Looking For:
Bachelor's Degree from an accredited university in a related field is preferred. An associate's degree required.
Five years' experience in a clerks' office may be substituted for the Associate Degree requirement.
For internal candidates, completion, within the last two years, of MJB provided courses in: HR Procedures, Discipline, Performance Evaluations, Team Building, Interviewing. For external candidates, or internal candidates who meet all other requirements, these courses must be completed within the first year of being hired.
Three years of supervisory experience
Experience in a Clerk's Office is preferred.
Experience providing technical assistance to individuals learning the processing of cases through the system is preferred.
Strong oral and written communications skills, including speaking to groups.
Experience with filing, docketing, scheduling, and processing of all case (DC & SC) types and other matters coming before the court is preferred
Experience maintaining financial records and accounts as necessary to process all fines, fees, costs and other funds paid to or through courts is preferred.
Knowledge of the organization, functions, and operations of the Judicial Branch.
Knowledge of the Odyssey e-filing and case management system.
Ability to interact effectively, including written and oral communication skills, with attorneys, the public, clerks, other court personnel, Judges and Justices, Magistrates, administrative staff, and others within the Judicial Branch.
Substantial expertise in the use and care of computers and other office equipment.
