Job Description
ESSENTIAL FUNCTIONS
- Working with the Energy Solution Procurement and Retail Manager to verify finances are in line with estimates.
- Coordinate with the Energy Solutions Freight and Logistics Coordinator as well as vendors and suppliers to confirm payment status and shipment readiness.
- Working with Project Engineers and EPC to verify and audit costs are getting coded to the correct projects.
- Answering phones and assisting with filing.
- Helping the Energy Solutions Business Supervisor with marketing and merchandising.
- Help keep the Energy Solutions web page up to date and create social media posts that are in line with our values. Help track website analytics.
- Ordering marketing and promotional items (hats, shirts, etc.).
- Office supply tracking and ordering (stationary, toiletries, cleaning supplies, etc.).
- Receiving new inventory, processing invoices, and keeping track of all order updates from CAT and various vendors.
- Complete title work and temporary tags for licensed unit sales. Work with Federal Excise tax accounting for licensed vehicles.
- Obtain mobile machinery stickers and plates for ES inventory.
- Work with accounting department on balancing inventory, audit and payables of department.
- Assist in creating journal entries, fixing grief and justifying P-card statements.
- Pin new CAT units and work with Commissioning Engineers on starting warranty for project units.
- Work with Energy Solutions personnel on DBS, Procore, Smartsheet, Irents, and other software systems needed.
- Assist with the billing and tracking of sales and pulling monthly profit reports to verify accuracy.
- Bill and track all internal rentals and sales.
- Assist in creating purchase orders for management.
- Charge load bank and transformer usage fees to new equipment
ADDITIONAL FUNCTIONS
- Professionally represent the company in appearance, positive attitude, and work habits.
- Assist the Business Supervisor in monitoring the financials of EPC Projects and Service Contracts.
- Interface with Energy Solutions Freight and Logistics Coordinator for freight accruals and cost tracking.
- Promote a positive safety culture to complement quality standards throughout all project phases.
- Other duties as assigned by the Business Supervisor.
QUALIFICATIONS/KNOWLEDGE/SKILL/ABILITY
- Minimum high school graduate or equivalent. Bachelor's degree in Business Administration preferred.
- Detailed organizational and power generation product background, either scholastically or practically is required.
- The Energy Solutions Business Coordinator must possess the following skills and abilities:
o Strong written and verbal communication skills
o Excellent relationship building and interpersonal skills.
o Must be able to understand and explain basic finance concepts.
o Strong organizational and scheduling skills with the ability to manage multiple projects simultaneously.
o Problem-solving mindset with strong attention to detail.
o Commitment to safety and compliance standards.
PHYSICAL/ENVIRONMENTAL REQUIREMENTS
- Normal office work, including prolonged walking, sitting and standing for extended periods of time (6-8 hours per day).
- Lift 20-50 pounds.
- Mount and dismount various types of equipment using ladders and hand and footholds, along with bending and squatting.
- Use of hands for grasping, pushing, pulling and fine manipulation.
- Use of all personal protective equipment.
- Some overtime may be required depending on workload and project requirements.
- Some travel by automobile and air required, with occasional overnight stay.
- Operate a company vehicle requiring a valid driver's license (driving record must meet company insurance standards and is reviewed annually).
