Position Summary

The Equipment & Pricing Coordinator is responsible for managing equipment purchasing, maintaining accurate pricing across all branch locations, and ensuring manufacturer rebates and incentive programs are processed accurately and on time.

This position requires strong organizational skills, attention to detail, and the ability to work closely with manufacturers, branch managers, warehouse teams, and company leadership.

Key Responsibilities

Equipment Purchasing

• Place daily equipment purchase orders with manufacturers.

• Monitor backorders and communicate expected delivery dates.

• Verify purchase order accuracy before submission.

• Coordinate inventory replenishment with branch managers and warehouse teams.

• Help maintain appropriate equipment inventory levels.

Pricing Administration

• Update equipment and parts pricing in the company ERP system.

• Maintain customer pricing and special pricing agreements.

• Audit pricing accuracy across all branch locations.

• Communicate manufacturer price changes to branches and management.

• Protect company margins by ensuring timely and accurate pricing updates.

Manufacturer Rebates & Incentives

• Submit manufacturer rebate and incentive claims accurately and on time.

• Track rebate status through payment.

• Resolve missing or denied rebate claims with manufacturers.

• Maintain organized rebate documentation for audit purposes.

• Produce monthly rebate performance reports.

Reporting & Administration

• Prepare purchasing and inventory reports.

• Maintain pricing update logs.

• Track vendor promotions and incentive programs.

• Assist leadership with special purchasing and pricing projects.

Qualifications

• 3+ years of purchasing, pricing, inventory, or distribution experience preferred.

• HVAC industry experience is a plus.

• Strong Microsoft Excel skills.

• Experience with ERP or inventory management software.

• Excellent organizational and time management skills.

• Strong communication and problem-solving abilities.

• High attention to detail and accuracy.

• Ability to manage multiple priorities in a fast-paced environment.

Preferred Qualifications

• Experience working in wholesale distribution.

• Knowledge of HVAC equipment and manufacturers.

• Experience managing manufacturer rebate programs.

• Purchasing or supply chain experience.

The successful candidate will:

• Maintain 99.5% pricing accuracy.

• Ensure equipment orders are accurate and submitted on time.

• Capture and collect 98% or more of available manufacturer rebates.

• Communicate pricing updates quickly and effectively.

• Help improve inventory availability while protecting company profitability.
