The role serves as a process coordinator and data steward, helping ensure that approved estimating tools, standards, and information remain accurate, controlled, documented, and usable.

Duties and Responsibilities:

  1. Document and maintain approved estimating processes, procedures, standards, workflows, templates, checklists, and reference materials.
  2. Coordinate process reviews with estimating leadership and affected departments; record decisions, responsibilities, dependencies, and implementation requirements.
  3. Maintain version control, revision history, approvals, effective dates, and archival records for controlled estimating documents and tools.
  4. Identify workflow gaps, duplicated effort, inconsistent practices, and improvement opportunities; develop recommendations for leadership review.
  5. Research, configure, test, and document approved estimating and productivity technologies in accordance with company requirements and information-security standards.
  6. Develop and maintain estimating assemblies, item databases, cost structures, templates, reports, and other controlled system content.
  7. Coordinate requirements, testing, implementation, and support activities with estimating leadership, Information Technology, Management Information Systems, and software providers.
  8. Develop test plans and user-acceptance criteria; document test results, defects, resolutions, approvals, and release readiness.
  9. Coordinate pilot groups, release communications, training, and post-implementation support for approved changes.
  10. Support structured data capture for estimating, purchasing, preconstruction, and related operations.
  11. Develop and maintain data definitions, field requirements, naming conventions, validation rules, source documentation, and ownership records.
  12. Perform routine data-quality reviews for completeness, accuracy, consistency, duplication, and reasonableness; document and coordinate correction of identified issues.
  13. Maintain historical estimate, bid-result, labor-productivity, unit-cost, and market-information logs as assigned.
  14. Prepare recurring and ad hoc reports, dashboards, presentations, and data extracts using approved sources and documented calculation methods.
  15. Partner with estimating leadership and the Learning Management team to identify training needs and develop role-appropriate learning materials.
  16. Create and maintain user guides, standard work instructions, reference sheets, demonstrations, exercises, and other instructional resources.
  17. Coordinate and facilitate individual and team training for approved estimating processes, software, tools, reports, and standards.
  18. Maintain training schedules, attendance records, published materials, revision status, and completion records as assigned.
  19. Coordinate meetings, agendas, notes, action items, due dates, and follow-up for assigned process and technology initiatives.
  20. Prepare clear correspondence, reports, presentations, procedures, meeting notes, and internal communications.
  21. Collaborate with Estimating, Operations, Purchasing, Scheduling, Preconstruction, Learning Management, Information Technology, Management Information Systems, and other stakeholders.
  22. Maintain organized project files and ensure supporting records are complete, current, and readily retrievable.
