Event Coordinator
Pope John Paul II High School
Position: Part-timeSalary Range: Hourly- based on experience
Position Summary• Pope John Paul II High School is seeking a highly organized and enthusiastic Event Coordinator to • plan, manage, and execute the school's major fundraising events. This role is responsible for the • organization, execution, and sponsorship development for two signature fundraisers-the Annual Gala• and Crawfish Cook-Off-as well as oversight of additional school-sponsored events throughout the • year.
Key Responsibilities:
Major Fundraising Events
• Plan, organize, and execute the Annual Gala and Crawfish Cook-Off from concept through • completion• Develop timelines, budgets, and event plans to ensure successful execution• Secure sponsorships, donors, and in-kind contributions for each event• Coordinate vendors, volunteers, committees, and event logistics• Work closely with the Advancement Director to meet fundraising goals
Sponsorship Engagement
Create sponsorship packages and manage sponsor recognition Maintain clear communication with sponsors before, during, and after events
Additional School Events
Oversee and support additional school-sponsored events throughout the academic year Collaborate with faculty, staff, and parent groups to ensure events align with school standards and mission
Administrative & Collaboration
• Track event budgets, sponsorship commitments, and timelines• Assist with marketing and promotion of events in coordination with the Advancement teams• Provide post-event reporting, including financial outcomes and recommendations for • improvement
Qualifications
• Bachelor's degree preferred (or equivalent experience)• 2+ years of event planning, fundraising, or nonprofit experience preferred• Strong organizational, communication, and project management skills• Ability to secure sponsorships and build relationships with community partners• Comfortable working occasional evenings and weekends• Self-motivated, detail-oriented, and able to manage multiple projects simultaneously• Supportive of the mission and values of Catholic education
