Job Description

As executive administrative coordinator, you will provide comprehensive and proactive executive-level administrative support to the ISU Foundation president and CEO, chief financial officer (CFO), and chief human resources officer (CHRO). You will serve as the key liaison between them and internal and external stakeholders including foundation staff, university administrators, collegiate constituents, donors, prospective donors, and external partners. Exercising good judgment in a variety of situations with strong communication, administrative, and organizational skills is imperative to the success of this position.Core Responsibilities include but are not limited to:

Strategically manage calendars and meetings to optimize time of CEO, CFO, and CHRO while coordinating multiple schedules.Resolve internal and external customer service issues using diplomacy and established guidelines.Collaborate with event staff to ensure logistics and materials are relayed to the executive team for special events (receptions, dinners, retreats, etc.)Coordinate year-end and mid-year performance review processes for the CEO, CFO, and CHRO.Create, prepare, and edit correspondence and communications, reports, presentations, and other documents with clearly organized thoughts.Research, develop, compile, and compose content considering areas of greatest importance to the donor(s) and desired focus of the communication.Process expense reimbursements for CEO, CFO, and CHRO.Develop annual budget for president's office, review expenditures, and resolve discrepancies in monthly account reporting. Monitor allocations for potential overages and determine appropriate actions.Serve on internal strategic committees as a member and/or recording secretary.

QualificationsEducation & Work Experience

8+ years of administrative support experience or combination of relevant education and/or demonstrated work experience totaling 8 years supporting C-level executives.

Desired Skills & Experience

Experience with Salesforce or another CRM is preferred.Excellent verbal and written communication skills and editorial skills.Ability to work independently and proactively to meet the needs of C-level executives.Experience with and ability to create a variety of communications based on narratives around a series of data and summary of information.Excellent interpersonal and customer service skills. Ability to work well with a variety of personalities.Ability to work independently and as part of a team. Must be adaptable, flexible, and self-directed.Proficiency with Microsoft Office Suite, especially PowerPoint to prepare presentations for executive leadership team, and ability to learn new software.Must be able to handle several activities simultaneously with attention to detail and adherence to deadlines and accuracy.Excellent professional judgment, organizational and planning skills, and diplomacy.Must adhere to strict confidentiality standards.Creativity, patience, a sense of humor and a belief in our organizational mission of: Aligning donor passion and generosity to advance Iowa State University's land grant ideals
