General Job Description

Overview:The Executive Director of Real Estate plays a critical leadership role at Millan Enterprises, overseeing the strategic and operational execution of the company’s residential, commercial, and maintenance functions. Reporting to the VP of Real Estate, this individual directly manages the Residential Real Estate Department, the Commercial Real Estate Department, the Maintenance and Construction Department.

This position is responsible for aligning people, systems, and property strategies to deliver efficient, scalable, and high-performing property management operations. The Executive Director fosters collaboration, ensures interdepartmental execution, and champions innovation and accountability across the full real estate portfolio.

Duties & Responsibilities

Strategic Leadership & Oversight

  • Lead cross-functional strategy and execution across commercial, residential, and maintenance operations.

  • Serve as the primary liaison between the VP of Real Estate and the operational property teams to ensure vision and standards are translated into daily execution.

  • Collaborate with internal stakeholders to align leasing, turnover, capital projects, and operational goals across the portfolio.

  • Drive long-term planning for growth, sustainability, and tenant experience across all property types.

  • Provides oversight of the daily operations and performance of the Commercial Leasing Agent, while lease negotiations and final approvals are retained by ownership.

Team Leadership & Departmental Management

  • Directly oversee the Residential Real Estate and Commercial Real Estate departments, ensuring consistency to meet and exceed performance metrics in leasing performance, property operations, compliance, and team development.

  • Manage the Construction and Maintenance Department to ensure timely execution of work orders, unit turns, landscaping, janitorial, and porter services, as well as any additional services or teams that may be added under this supervision in the future.

  • Implement processes that improve interdepartmental communication and reduce operational friction between leasing, maintenance, and grounds teams.

  • Conduct performance reviews, team huddles, and strategic alignment meetings to drive accountability and support team growth.

Operational Execution

  • Establish systems and KPIs to track and manage property performance, work order response times, vacancy and turnover metrics, timely receipt of rent, and maintenance costs.

  • Collaborate with directors and managers to create preventative maintenance plans, turnover protocols, and service delivery standards.

  • Oversee capital improvement coordination between departments and assist with long-term capital planning.

Process Development & Optimization

  • Design and implement scalable property management workflows, aligning residential and commercial teams on core operational standards.

  • Evaluate current systems for scheduling, inspections, turnovers, and communication—and recommend improvements where needed.

  • Support the VP of Real Estate in cross-portfolio initiatives such as technology adoption, cost controls, and quality assurance.

Collaboration & Reporting

  • Provide regular reporting and strategic updates to the VP of Real Estate on the health of the portfolio and team performance.

  • Help develop and implement training programs and leadership development initiatives for property and maintenance teams.

  • Coordinate with accounting, legal, marketing and executive support functions on real estate operations, budgets, and compliance matters.

Other Duties

  • Perform other duties and tasks as assigned to support the overall success of the company.

Education & Training

  • Bachelor’s degree in Real Estate, Business, Construction Management, or related field preferred.

  • Master’s degree or relevant certifications (e.g., CPM®, CMCP, CCIM, RPA) preferred.

  • Real Estate License or Broker License preferred; Real Estate License must be obtained within 1 year of hire

Knowledge & Experience

  • Minimum of 7–10 years of progressive leadership experience in real estate operations, property management, construction, or facilities management.

  • Demonstrated success in leading multi-departmental teams, including leasing, maintenance, and support functions.

  • Strong working knowledge of residential and commercial leasing, property compliance, and real estate financials.

  • Experience implementing systems for work order management, capital planning, and interdepartmental communication.

  • Familiarity with property management platforms (e.g., AppFolio), vendor management, and service contract oversight.

Skills & Abilities

  • Proven leadership and team-building skills with the ability to develop and hold others accountable.

  • Strategic mindset paired with strong execution and problem-solving abilities.

  • Excellent verbal and written communication skills; able to influence, direct, and align diverse teams.

  • Highly organized, with the ability to manage multiple projects and priorities across departments.

  • Skilled in conflict resolution, performance coaching, and process improvement.

  • Professional, composed, and confident when representing the real estate division internally or externally.

Working Environment

Positions in this class typically require: reaching, standing, walking, grasping, feeling, talking, hearing, seeing and repetitive motions.
