Job Description

Location: Universal City, CA - On-site/Hybrid (Tues/Wed/Thurs in office)

Type: 2 months contract on W2

Summary:

The Administrative Assistant is responsible for managing schedules, coordinating meetings and handling travel arrangements for an SVP in Brand Marketing.

NOTES FROM HIRING MANAGER:

Essential Responsibilities:

  • Manages complex scheduling for meeting heavy executive; specifically coordinates meetings with internal and external parties utilizing multiple calendars, often balancing strict demands of studio heads and shifting priorities while anticipating problems and conflicts in advance
  • Supports executives with managing their meetings of the day, meeting planning, agenda prepping with excellent follow up and problem-solving skills.
  • Coordinates travel schedules and arrangements, collects required travel documentation
  • Prepares and processes P-card and expense reports in accordance with established divisional travel policy guidelines; Ensures the timely processing of expenses utilizing the latest electronic processes for payment to corporate credit card
  • Assists other department members as necessary; including but not limited to managing overall department calendar, coordination of roadshows, cross company meetings & workflow planning
  • Handles extremely heavy phones (including logging, placing and rolling calls)
  • Maintains contact lists

Qualifications:

  • 3-5 Years Strong telephone etiquette, communications and organizational skills.
  • Team player with exceptional interpersonal skills.
  • Working knowledge of Microsoft Excel and Word.
  • Bachelors Degree preferred.

Responsibilities:

  • Provide daily communication, basic clerical duties, and general administrative support.
  • Insure that pertinent operational information is conveyed within the department and to other departments as necessary.
  • Answer heavy telephones, give information and take messages.
  • Provide timely operational information to managers and employees.
