- Assist in administering short- and long-range preventive maintenance programs for hospital buildings and facilities.
- Plan and schedule preventive maintenance work orders using the CMMS, ensuring timely completion and accuracy.
- Collaborate with the Maintenance Supervisor and contractors to schedule and monitor routine maintenance tasks.
- Perform audits of completed maintenance work orders and contractor tasks to verify proper execution and compliance with standards.
- Process and approve vendor and contractor invoices, ensuring accuracy and compliance with contract terms.
- Track and monitor contractor performance to ensure maintenance tasks are completed on time and meet quality standards.
- Retain and maintain records of vendor service reports, quotes, and contracts for easy reference.
- Maintain a comprehensive tracking system for active contracts, ensuring proper documentation and timely renewals.
- Ensure compliance with regulatory bodies (e.g., DNV, CMS, DEQ, NFPA), maintaining records for audits, non-conformities, and corrective actions.
- Administer the CMMS software, ensuring accurate data entry and maintenance of preventive maintenance schedules.
- Generate and review routine reports, such as work order completion metrics, work order summaries, and compliance status reports for department review and meetings.
- Update the CMMS with new equipment asset numbers and maintenance schedules, ensuring the system is current and complete.
- Maintain accurate documentation of compliance with environmental and safety regulations, including monthly emissions reports for boilers and load control generators.
- Ensure all maintenance activities comply with safety standards and regulations, including fire code inspections and lockout/tagout procedures.
- Oversee the maintenance and scheduling of the department’s fleet, ensuring vehicle readiness and operational needs are met.
- Ensure safe working conditions by enforcing PPE usage and lockout/tagout procedures during maintenance tasks.
- Coordinate calendars for the Director of Operations and Maintenance and the Maintenance Supervisor, ensuring smooth scheduling of meetings, appointments, and events.
- Facilitate effective communication within the department and across teams, ensuring timely information flow.
- Support the onboarding and training of new hires in the maintenance department, ensuring staff are well-prepared for their roles.
- Manage the ordering and distribution of uniforms for the maintenance team, ensuring compliance with company dress codes and safety standards.
- Review maintenance work order backlogs and identify areas for improvement in labor and workflow efficiency.
- Suggest process improvements to enhance operational performance and meet departmental goals.
- Perform other tasks as assigned by the Director of Facilities Operations and Maintenance or the Maintenance Supervisor.
- Education: High School Diploma or Equivalent.
- Licensure/Certification: None.
- Experience: Minimum of three years of relevant Administrative Assistant experience or an Associate's Degree with one year of relevant experience.
- Driver's License: Yes.
- If driving an Augusta Health Vehicle, must be 21 years old and MVR must be approved by Risk Management.
- Eligibility to work in the United States and meet Virginia state employment requirements.
- Education: Associate's Degree.
- Licensure/Certification: None.
- Experience: Background in facility operations and maintenance in a healthcare or industrial environment.
- Prior experience in a hospital, healthcare system, or related service-oriented environment.
- Familiarity with Augusta Health’s systems, workflows, or organizational culture is a plus.
- Skill Requirements:
- Must be experienced and proficient with a wide range of personal computer hardware and software, including MS Excel spreadsheets and developing charts and graphs pertinent to assessing departmental productivity.
- Experience working with equipment asset databases such as a computerized data management system.
- Excellent communication skills to nurture collaborative relations with team members, internal and external customers, contractors and subject matter experts at equipment companies.
- Basic understanding of NFPA, OSHA, elevator regulatory requirements, with a willingness to learn and apply standards under supervision.
- Ability to develop and maintain recordkeeping systems, files and procedures.
- Ability to organize, prioritize and schedule work assignments for self, other team members in the department and support contractors.
- Must be able to climb ladders.
