SummaryOur human services agency client in Philadelphia, PA, is seeking a Finance and Operations Manager. This pivotal role will be vital in providing financial management for the organization. This position will provide various bookkeeping and accounting duties, including preparing financial information for government contract invoicing, other invoicing needs, accounts payable, and bi-weekly payroll.This position requires experience in managing government and restricted fund accounting and invoicing. The target salary range for this position is around $85,000. The position is hybrid, with a minimum of 3 days in the office.About the roleWhat this position will focus on:Managing finance and accountingYou will oversee the agency's daily financial operations. This person will oversee all aspects of their fund and general accounting, with many different, complex revenue sources. You will own tracking all of the invoices to foundations, government agencies, and partners.Being an operations go-to personYou will help support the Executive Director (ED) with the overall operations of the organization and be the go-to person for equipment, supplies, basic IT/equipment support, and property management.Critical parts of the jobManage all day-to-day accounting; accurately enter, process, and reconcile transactions including accounts payable and accounts receivableProcess bi-weekly payroll, including organizing and reviewing staff timesheets and related reportingAssist with creating monthly invoices for reimbursement from government funders following cost allocation principlesHandle all aspects of accounts payablePerform month-end closing proceduresCreate and update organizational/financial operations manualProvide support to leadership team and external accounting firm in preparing monthly, quarterly, and annual funder reportingParticipate in financial audits and preparing year-end reports, schedules, and other documents; provide audit process support; generate reports and data for annual 990Help in building internal financial systems and suggest process improvementsPerform other financial and contract responsibilities as neededOversee inventory management of all agency equipment (e.g., copier, telephones, computers) in conjunction with outside IT support vendor(s)Work with the building manager and landlord regarding office maintenance and suite supportAssist with employee onboarding/offboarding proceduresMaintain operational and organizational charts of board and staff, plus grant funders Other duties and responsibilities as needed or requiredSkills, Education & AbilitiesThe Must-HavesA self-motivated thinker and doer who can work independently and with a team.Relentless attention to detail.A curious and inquisitive finance professional who can understand and navigate a constantly evolving and dynamic environment.A thoughtful and talented communicator willing to assist management and employees with the daily operations of the organization.Ability to juggle a few competing priorities and be flexible to changing goals and demands on your time.QualificationsA bachelor’s degree in finance or accounting, or other relevant fields. Equivalent years of experience could be considered in lieu of a college degree.Three (3) or more years’ experience in managing bookkeeping, budgeting, and financial reportingKnowledge of QuickBooks Online and Bill.comStrong demonstrated knowledge of Excel and basic bookkeeping skills are requiredFamiliarity with nonprofit and government grant accounting highly preferredStrong written and oral communication skills.Good interpersonal skills, ability to relate and work well with people from a variety of socioeconomic and cultural groups.Excellent organizational skills to handle multiple priorities while remaining professional and calm. Ability to organize and prioritize tasks.Ability to be accurate, even at a fast pace and high-volume level of workAbility to work independently and be self-directed and flexible. Ability to perform functions with minimal supervision.
