Job Description Summary
The Fleet Compliance Lead is responsible for overseeing the safe, compliant, and cost-effective operation of the company’s vehicle fleet primarily across the United States and Canada. This role has primary accountability for DOT and MVR compliance, working in close partnership with our fleet leasing and management providers to ensure regulatory adherence, operational excellence, and high levels of customer service. The role will also oversee driver licence compliance programmes in Global locations (LAPID, DVLA etc)In addition to compliance leadership, the Fleet Manager partners with internal stakeholders and external vendors to support overall fleet services operations, with a strong focus on safety, quality, delivery, cost management, and customer satisfaction.This role is office-based in Schenectady, NY and works closely with EHS, HR, Legal, Finance, Procurement, and field operations teams.Job Description
Key Responsibilities
Fleet Compliance & Risk Management
- Own and manage DOT compliance for applicable vehicles and drivers, ensuring adherence to all federal, state/provincial, and local regulations.
- Oversee Motor Vehicle Record (MVR) monitoring and driver qualification processes for US and Canadian drivers and similar processes for global locations where mandated.
- Partner with HR, Legal, and EHS to manage driver eligibility, corrective actions, and compliance documentation.
- Support audits, inspections, and regulatory inquiries related to fleet operations.
- Track and analyze safety and compliance metrics, identifying trends and recommending corrective actions.
Fleet Operations & Vendor Partnership
- Liaise with Fleet Management Vendors, ensuring services are delivered in accordance with contractual, compliance, and performance expectations.
- Oversee vehicle lifecycle management, including ordering, upfitting, registration, maintenance, compliance documentation, and decommissioning.
- Collaborate with vendor and internal stakeholders to ensure timely vehicle availability and minimal operational disruption.
- Monitor fleet performance KPIs related to uptime, safety, service quality, and cost.
Safety, Quality & Customer Service Excellence
- Promote a strong fleet safety culture aligned with company and regulatory standards.
- Partner with EHS and operations teams to implement safety initiatives and driver education programs.
- Ensure fleet services meet the needs of internal customers, with a focus on responsiveness, reliability, and quality.
- Act as a point of escalation for fleet-related issues impacting safety, compliance, or customer experience.
Financial & Cost Management
- Monitor fleet-related spend, including leasing, maintenance, fuel, and compliance costs.
- Identify opportunities for cost optimization while maintaining safety and service quality.
- Support budgeting, forecasting, and reporting related to fleet operations.
Continuous Improvement & Governance
- Drive continuous improvement initiatives across fleet compliance, safety, and operational processes.
- Maintain fleet policies, procedures, and governance documentation.
- Stay informed on changes to DOT, FMCSA, and other global fleet regulations and recommend updates as needed.
Required Qualifications
- Bachelor’s degree in Business, Supply Chain, Operations, Transportation, or a related field (or equivalent experience).
- 5+ years of experience in fleet management, transportation operations, or compliance-focused roles.
- Strong working knowledge of DOT regulations, FMCSA requirements, and MVR monitoring.
- Experience managing or partnering with a fleet leasing/management provider
- Experience working in a globally dispersed team
- Demonstrated ability to manage vendors and cross-functional stakeholders.
- Strong analytical, organizational, and problem-solving skills.
- Proficiency with fleet management systems and Microsoft Office tools.
Preferred Qualifications
- Experience managing fleets across both the US and Canada.
- Familiarity with compliance management systems and safety programs.
- Professional certifications such as NAFA CAFM or similar (preferred but not required).
