Position summary
The Fleet Coordinator is responsible for oversight, coordination, and operational efficiency of the company’s fleet of vehicles, equipment and field logistics. The role ensures vehicles are properly maintained, monitored and deployed while supporting operational planning, inventory management, and personnel coordination. The Fleet Coordinator works closely with the Director of Operations to ensure efficient routes, staffing, equipment availability and fleet compliance.
Responsibilities of Fleet Operations & Dispatch
· Scheduling of drivers and maintenance with Director of Operations
· Coordinate daily dispatching of vehicles and drivers to ensure efficient job coverage and operational productivity.
· Establish and maintain truck routes in coordination with the Director of Operations to maximize efficiency and minimize fuel usage and travel time.
· Adjust dispatch schedules based on job priorities, emergency needs, or operational changes.
· Maintenance trends
GPS & Fleet Monitoring
· Monitor vehicle activity using fleet management systems
· Track vehicle locations, driver behavior, and route compliance.
· Manage vehicle movement within designated job sites, facilities, and operational zones.
· Identify and report any irregularities in vehicle activity or route usage.
Vehicle Maintenance & Inspections
· Oversee routine vehicle maintenance programs to ensure safety, reliability, and regulatory compliance.
· Schedule preventative maintenance and repairs as needed.
· Conduct or coordinate on-site vehicle inspections to ensure vehicles meet operational and safety standards.
· Ensure all fleet vehicles remain clean, presentable, and in good working conditions.
· Coordinate all repair work
· Maintain documentation
Fleet Asset Setup & Management
· Coordinate the setup of new vehicles including:
o Registration and Title/License (TTL)
o Company signage and branding
o GPS or tracking equipment installation
o Required operational equipment
o Update operational tracking software with new equipment
· Maintain accurate fleet records including truck logs, maintenance records, and asset tracking documentation.
Fuel & Equipment Monitoring
· Monitor fleet fuel usage and fuel consumption to identify usage trends and potential inefficiencies.
· Track and manage operational equipment and parts including hoses, pumps, and related field assets.
· Ensure all operations equipment is properly maintained, inventoried, and available when needed.
Equipment Inventory Management
· Maintain inventory of fleet-related equipment, supplies, and materials.
· Track inventory levels and perform regular audits.
· Order replacement parts, equipment, and supplies as needed to maintain operational readiness.
Operational Planning & Forecasting
· Assist the Director of Operations in forecasting service demand and operational workload.
· Support planning for future equipment purchases and personnel needs based on projected service volume.
· Monitor seasonal weather patterns and anticipate operational impacts on fleet and scheduling.
