The City of Saint Charles is looking for an enthusiastic and talented event coordinator to assist the Foundry team during special events and rentals. Candidates must be well-organized and comfortable with helping with event logistics and client relations. Excellent communication skills and attention to detail are vital in this role. Work schedule includes weekdays, weekends, evenings, special events, and can include holidays. Must have the physical ability to work in a large venue and lift tables and chairs.
Essential Duties and Responsibilities
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Assist in planning Foundry events including – venue, entertainment, signage, decoration, event details, and logistics
- Interact and serve as point of contact for clients, caterers, wedding/event planners, vendors, and guests to ensure excellent and high-quality guest experiences
- Maintain a welcoming environment and demeanor while in person, on the phone, or via email
- Ensure that all event details are properly and accurately recorded
- Help maintain relationships with preferred caterers and potential catering partners
- Help create partnerships with event companies and industry publications
- Responsible for the Foundry bar inventory and ordering
- Assist in set-up and breakdown of events and rentals (moving chairs, tables, and clean-up)
- Work on projects with co-workers and assist others as needed
- Additional duties as assigned

Minimum Training and Experience Required to Perform Essential Job Functions
- Experience in special event management, sales, or a related field, and
- Valid Missouri Driver's License with acceptable driving record; or
- Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work.
- Flexibility of schedule: willingness to work weekends, evenings, special events, long hours, and fill in when necessary.
- Ability to lift up to 50 pounds
- Willingness to go above and beyond listed duties. Employees are expected to maintain a clean shared work space and cooperate in maintaining facilities, setting up and breaking down events, etc.
- FAC employees must be excellent team members. Job descriptions are not limited to the duties in one's own area when able to assist co-workers. Special events, programming, and exhibitions require the cooperation of all staff members both in planning and execution.
