Job Summary: The ideal candidate for the Front Office Bookkeeper position will be an organized and detail-oriented individual who values customer service and has office management and accounting experience in a machine shop/manufacturing environment. This position is responsible for the day-to-day administrative functions, including timekeeping, accounting, customer service, and smooth office operations. This role requires excellent communication, organizational, and multitasking skills, as well as a strong understanding of basic accounting practices and office management.
Front Office Bookkeeper Primary Duties & Responsibilities:
- Responsible for daily bookkeeping tasks such as accounts payable/receivable and invoicing. Assist with monthly and year-end financial closing.
- Performs daily calculation and entry of labor hours for all employees to appropriate jobs in accounting software and provides hours to HR in Excel.
- Manage weekly Accounts Payable duties including matching and entry of vendor invoices, weekly check run, account reconciliations as needed.
- Responsible for Accounts Receivables which includes generating customer invoices, following up with clients regarding payments, and generating reports for management.
- Performs banking responsibilities including deposits and monitoring of cleared AP checks.
- Creates Purchase Orders in system for shop and office supplies
- Maintain employee training records and work closely with HR to support employee recruitment, onboarding, time off, benefits, etc. Helps address employee questions.
- Serve as the first point of contact for phone calls, emails, and in-person visitors, directing inquiries to the appropriate department.
- Ensure compliance with safety regulations and company policies. Maintain shop inspection calendar and scheduling of all appointments relating to regulatory compliance. Oversees shop permits and ensure that all permits are up to date.
- Maintain office supplies, cleaning and janitorial supplies, as well as monitoring of employee PPE supplies to ensure employees' supply and safety needs are met. Coordinate and oversee office maintenance and cleanliness.
Required Skills:
- Solid understanding of accounting and financial principles, with experience handling basic bookkeeping tasks.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook), and familiarity with accounting software such as QuickBooks or similar. Experience with Made 2 Manage a plus.
- Exceptional organizational and multitasking skills, with the ability to prioritize and manage time effectively.
- Strong attention to detail and accuracy, especially with financial data.
- Excellent verbal and written communication skills.
- Ability to work independently and in a team environment.
Education/Experience:
- High school diploma or equivalent; an associate's degree or higher in business administration or accounting is a plus.
- Accounting/bookkeeping experience particularly with accounts payable and accounts receivable.
- Prior experience as an Office Manager, Administrative Assistant, or similar role, preferably in a machine shop or manufacturing environment.
- Previous experience working in a machine shop or manufacturing environment.
- Knowledge of safety protocols and regulations specific to a manufacturing environment.

Schedule:
- Full-time, 40 hours per week
- 10-hour shift, 4 days per week (Monday-Thursday)
Ability to commute/relocate:
- Buellton, CA 93427: Reliably commute or plans to relocate before starting work (Required)
Work Location: In person
Salary: $22.00 - $25.00 per hour
