Job Description:

The Gift Accounting Coordinator serves as an integral member of the gift processing team, supporting the accurate recording and administration of charitable contributions to the university. The Coordinator responds to constituent inquiries regarding gifts and pledges, assists with matching gift programs, and maintains related documentation and records. This position also manages matching gift-related communication with donors, companies, and third-party providers to secure all eligible matching gifts while helping ensure the accuracy and integrity of gift records.This position reports to the Manager of Advancement Data and Gift Processing within Advancement Services.Washington and Lee University actively promotes a dynamic and welcoming environment that allows students and employees of multiple backgrounds and perspectives to learn, work, and thrive together. Essential Functions:

  • Interfaces with donors and development staff to respond to questions and requests for more information, including pledge status reports and assistance with matching gifts.
  • Actively participates as a member of the gift processing team, trained in all aspects of gift entry, reporting, and reminders.
  • Maintains up-to-date accounts with matching gift companies and third-party providers. 
  • Processes matching gift forms and tracks matching gift progress in Slate. 
  • Provides backup support for constituent record maintenance and acknowledgement production when needed
  • Other related duties and responsibilities as assigned.

Work Schedule: 8:30 am - 4:30 pm. This position works 35 hours per week with occasional nights and weekends.

Minimum Qualifications:

  • High school diploma or GEDrequired with a minimum of 3 years’ experience in an administrativeor accounting function or a combination of education and experience from which a similar background would be obtained.
  • Exceptional attention to detail and strong organizational skills.
  • Experience working with a comprehensive database and some knowledge of gift and pledge transactions.
  • Must be a proficient user of Microsoft Outlook, Word and Excel; experience with Slate, or another relational database is a plus.
  • Must be sensitive toconfidential personal, giving and asset information, and must be able to work in an office setting and follow organizational protocol.
  • The ideal candidate will have familiarity with higher education and the critical role information and data play in alumni and development affairs.
  • Collegiality, a positive outlook, and a desire to set an example with a strong work ethic are essential. Strong written communication skills.
  • Ability to be self-directed and proactively suggest process improvement.

Compensation:

The expected pay rate for this position is between $23.67 - $27.46 per hour. Offers are based on factors such as qualifications, relevant experience, skills, internal equity, and market and organizational considerations.
