Role Purpose

The Global Payroll & Accounts Payable Specialist is responsible for the accurate and timely processing of payroll while supporting key accounting and accounts payable functions across CodeRabbit. This role ensures compliance with federal, state, and local regulations, administers retirement and benefits-related payroll processes, owns day-to-day AP invoice processing and GL coding, and supports month-end close and reconciliations. The ideal candidate is detail-oriented, organized, and comfortable working cross-functionally with People Ops, Finance, RevOps, and employees in a fast-moving, venture-backed SaaS environment.

This role reports to the Controller and partners closely with the VP of Finance, People Ops team, and our external accounting partners.

Responsibilities

Global Payroll Administration

  • Own end-to-end payroll processing across all CodeRabbit entities and countries, including semi-monthly US payroll in Rippling and monthly India payroll through our in-country provider / EOR.

  • Act as the primary point of contact for EOR and international payroll partners (e.g., Rippling Global or local providers) for employees and contractors in India and any additional countries as we expand.

  • Review and validate employee hours, commissions, bonuses, equity-related taxable events, and pay adjustments.

  • Ensure accurate calculation of wages, taxes, statutory benefits, deductions, garnishments, and payroll adjustments across US states (CA, MA, and remote states) and international locations (e.g., PF, ESI, professional tax, and TDS in India).

  • Partner with RevOps and Finance to process monthly commission payments.

  • Maintain employee payroll records and system data within Rippling.

  • Audit payroll reports before submission to ensure accuracy and compliance.

  • Respond to employee payroll inquiries and resolve discrepancies promptly.

  • Coordinate with People Ops regarding new hires, terminations, leaves of absence, benefit changes, and compensation updates.

  • Ensure compliance with federal, state, and local payroll tax regulations; monitor new-state registrations as we hire remote talent.

  • Assist with year-end payroll activities, including W-2 and 1099 preparation and reporting.

Accounts Payable & GL Coding

  • Process AP invoices in Bill.com, route them for approval, and execute payments on the established pay cadence.

  • Verify approvals, maintain vendor records, and manage vendor onboarding including W-9s and 1099 classification.

  • Review corporate card transactions (Bill Spend / corporate card program) for supporting documentation and proper GL coding.

  • Review and process employee expense reimbursements submitted through the Rippling Spend app in line with our Travel & Expense policy.

  • Apply accurate GL coding (account, department, class) to invoices, corporate card spend, and employee expenses in line with the chart of accounts.

  • Support the AP system evaluation and implementation (Ramp vs. Brex vs. Rippling) as we scale AP automation and controls.

  • Track prepaid expenses, monthly AP accruals, and vendor aging.

Qualifications

Required

  • 3–5+ years of progressive payroll and/or AP experience, ideally in a high-growth startup or SaaS environment.

  • Hands-on experience running multi-state US payroll.

  • Strong working knowledge of federal, state, and local payroll tax regulations.

  • Experience with AP invoice processing, GL coding, and vendor management.

  • Proficiency in Excel/Google Sheets (VLOOKUPs, pivot tables, reconciliations).

  • Excellent attention to detail, organizational skills, and ability to manage competing deadlines.

  • Strong written and verbal communication skills; ability to partner cross-functionally with People Ops, Finance, RevOps, and employees at all levels.

  • High degree of discretion and integrity with sensitive employee and financial data.

Preferred

  • Direct experience in Rippling payroll and/or Bill.com AP.

  • Experience supporting a 401(k) plan (Human Interest a plus) including testing and audit support.

  • Exposure to international payroll (India / Bangalore a plus).

  • Bachelor's degree in Accounting, Finance, Business, or a related field; FPC or CPP certification is a plus.

Base pay range for this role is $150k-180k. Actual salary will be based on job-related skills, experience, and location.
