Job Description

To serve as a lead and key member of a team of grant advisors who is responsible for the entire grant development, submission, and management process for departments and their faculty in the UAB Heersink School of Medicine (HSOM). To work to build an advisor-and-scientist relationship with investigators. To oversee pre-award and post-award research activities for a group of departments within the School of Medicine (SOM), while providing technical expertise and guidance, and ensuring adherence to all research sponsor and UAB guidelines, policies, and regulations. To partner directly with faculty to guide them through the grant development (pre-award) phase and provide guidance for post-award management, including leading the project management aspects and approach, drafting, developing and managing the grant's budget, completing document preparation and verification, making improvements to the administrative and scientific content, populating the grant s submission portal (e.g., ASSIST, myUABresearch), and completing the grant s initial and final submission to the UAB Office of Sponsored Programs (OSP) as well as annual progress reports.

To serve as an advisor and reporting to the Manager-Grants Management Shared Svcs-HSOM , identifies, reviews and makes determinations on current funding opportunity announcements and their applicability to investigators and their related scientific research programs. To identify sponsor deadlines and to create a detailed project management plan tailored to specific Principal Investigators (PIs) to ensure a successful research proposal submission(s). To use productivity tools (e.g., MS Teams, Copilot) to proactively monitor a team s pre- and post-award activities and their development plans to ensure the SOM Dean s Office has the appropriate availability of resources for pre- and post-award activities and services. To provide faculty level training, presentations and identify areas of both institutional, federal, and other extramural support for investigative teams. To cultivate relationships with SOM faculty and staff and encourage collaborations with UAB faculty, UAB s OSP, external institutions, foundations, and other collaborators. To work closely with the Manager to identify and plan the strategic development objectives and activities of the office. To create and develop monitoring tools, to collect and synthesize qualitative and quantitative data, create data analysis and visualization tools, and populate tracking mechanisms for award activities in the SOM.

Duties and Responsibilities:

  • Serves as the lead point of contact for pre-award and post-award activities, liaising with sponsor agencies, sub-award partners, and internal stakeholders while advising faculty and staff on grant-related matters.
  • Leads the preparation, review, and submission of sponsored research proposals, ensuring compliance with institutional policies, sponsor guidelines, and regulatory requirements while guiding faculty through pre- and post-award processes.
  • Develops and oversees complex project budgets, including effort allocation, indirect costs, and budget justifications, while advising research teams on fiduciary and compliance requirements for federal and non-federal awards.
  • Establishes and monitors proposal and award timelines and milestones, proactively reallocating resources and adjusting priorities to ensure timely, accurate, and effective grant development and management.
  • Facilitates and oversees the preparation, submission, and maintenance of required grant documentation, ensuring accuracy, completeness, and regulatory compliance.
  • Reviews and enhances administrative components of grant applications by providing high-level editorial feedback to improve clarity, consistency, and competitiveness.
  • Develops and manages proposal support materials, including templates for letters of support, facilities and resources statements, and other required attachments.
  • Implements and optimizes project management tools, tracking systems, and workflows to support efficient collaboration, transparency, and accountability across research teams
  • Leads grant development strategy by coordinating proposal meetings, advising on sub-award processes, identifying funding opportunities, delivering training and onboarding, contributing to committees, and advancing continuous improvement initiatives within the shared services model.
  • Perform other duties as assigned

Salary Range: $70,425 - $114,440

Bachelor's degree in a related field and five (5) years of related experience required. Work experience may NOT substitute for education requirement.
