HEALTH SCIENCE ADMINISTRATIVE SPECIALIST-SAVANNAH

Summary

This full-time administrative role supports the Nursing and Health Sciences Division by providing essential front-office and program support to faculty, staff, and prospective students. The position serves as a primary point of contact for visitors and callers, offering professional, friendly assistance and accurate information regarding departmental policies and program requirements. Responsibilities include managing student files and databases, handling data entry, preparing correspondence, maintaining office supply inventories, scheduling classroom spaces, and assisting with recruitment and program-related communications.

In addition, this role supports the operational flow of the division by organizing faculty mail, composing meeting minutes, preparing educational materials, and assisting with exams through proctoring duties when needed. The position requires strong communication abilities, organizational skills, and proficiency in Microsoft Office-particularly Word and Excel. An associate degree is preferred, and prior administrative experience in an office setting is essential. The ideal candidate thrives in a fast-paced environment, can manage multiple tasks simultaneously, and communicates professionally across departments and with community partners.

CLASSIFICATION: Classified Staff

DEPARTMENT: Academic Affairs- Nursing and Health Sciences Division

REPORTS TO: Dean/Director of Savannah Campus

FLSA STATUS: Non-Exempt

FULL TIME/PART TIME: Full-Time, 12 month

SHIFT: Monday-Friday 8:00 a.m.-4:30 p.m. (dependent on campus hours and program needs)

LOCATION: Savannah Campus- Savannah, Missouri

Essential Functions: Duties and responsibilities include but are not limited to

  • Greet visitors who come into the office in a friendly and professional manner. Provide information or assistance utilizing knowledge of department policies and procedures.
  • Answer office telephone for the purpose of providing or accepting information. Calls should be received in a friendly and professional manner.
  • Disseminate program information and admission packets to potential students.
  • Provide data entry and file management for educational materials, business correspondence, exams and materials for health science faculty.
  • Collect, sort and distribute faculty mail.
  • Maintain current student files and databases.
  • Order and inventory office supplies.
  • Compile application data; review files and inform applicants of admission deficits.
  • Compose, type and distribute meeting minutes.
  • Communicate professionally with other divisions/departments and community contacts.
  • Manage multiple tasks in a fast-paced environment.
  • Schedule rooms for classes.
  • Assist in recruitment efforts of health science students.
  • Assist in preparation of flyers, posters, educational materials, and other media sources.
  • Produce correspondence as needed.
  • Proctor exams, mid-terms, and finals, as needed.
  • Maintain mailing lists.
  • Serve on committees as required.
  • Perform other duties as assigned.
  • Attend training as required.

Requirements

Qualifications:

Education: Associate degree preferred. Experience in an administrative setting will be considered.

Experience: Prior support position in an administrative capacity serving in an office setting.

Skills: MS Office with emphasis in Word and Excel. Strong organizational skills with the ability to be detail-oriented. Possess effective communication skills and ability to multi-task.

Physical Demands: Moving about in the building on the NCMC Savannah Campus; reaching, pulling, and pushing when performing office duties; able to do repetitive tasks; remain stationary at a desk for extended periods while working on a computer and answering phones.

Environmental Demands: Fluctuations while moving on tile and carpeted floors in a heated and air conditioned environment.
