Home Infusion Pharmacy Intake Coordinator (Stuart, FL)

Position Summary

The Home Infusion Intake Coordinator supports the referral-to-start-of-care process by completing insurance benefit verification, documenting payer requirements, estimating patient financial responsibility, and coordinating communication with patients and both internal and external departments. This role plays a critical part in ensuring timely access to therapy while maintaining accurate records and excellent customer service.

Essential Job Functions

·         Perform benefit verification for all patient insurance plans and accurately document coverage for medications, administration supplies, and related infusion services.

·         Document all payer-specific information including coinsurance, copays, deductibles, out-of-pocket maximums, authorization requirements, and coverage limitations.

·         Calculate estimated patient financial responsibility based on benefit verification results, payer contracts, and/or company self-pay pricing.

·         Communicate effectively with patients, payer representatives, and internal and external departments regarding referral status, coverage updates, and next steps.

·         Refer patients to, or assist with enrollment in, manufacturer copay assistance programs and/or charitable foundations when financial need is identified.

·         Generate and prepare new patient start-of-care paperwork, ensuring completeness and accuracy prior to processing.

·         Maintain clear, complete, and timely documentation of all activities within designated systems and tracking tools.

·         Support productivity and quality expectations while managing multiple referrals and changing priorities.

Qualifications (Required)

·         High school diploma or equivalent.

·         At least 18 years of age.

·         Strong interpersonal skills with the ability to interact professionally with employees, supervisors, patients, and external partners.

Qualifications (Preferred)

·         Specialty Pharmacy and/or PBM experience.

·         Knowledge of Commercial, Medicare, Medicaid, and managed care reimbursement guidelines.

·         Registered Pharmacy Technician with the State Board of Florida (preferred).

·         Excellent communication skills, including the ability to listen, speak, read, and write English clearly and effectively.

·         Strong computer proficiency, including MS Office and pharmacy applications.

·         Understanding of processes, systems, and techniques that support billing and collection efforts across all payer types.

·         Strong organizational and documentation skills; ability to maintain accurate referral and financial records.

·         Ability to interpret payer contract fee schedules, including NDC and HCPCS unit-based reimbursement.

·         Ability to manage multiple priorities, multitask effectively, and maintain quality and timeliness in a fast-paced environment.

Work Schedule & Benefits

·         Schedule: Full-time, Monday–Friday, 8-hour shifts.

Physical Requirements

·         Prolonged periods of sitting at a desk and working on a computer/phone (up to 8 hours daily).

·         Frequent use of hands/fingers to operate office and telecommunication equipment.

·         Clear speech and hearing required for extended phone interactions.
