Job Description
Position Summary
The Hotel Staff Accounting Clerk supports the Finance Department by ensuring accurate revenue reporting, timely accounts receivable billing, and compliance with contractual deposit requirements. This role performs daily income audit functions, maintains A/R and deposit balances, responds to chargebacks, and professionally manages guest billing inquiries. The position works closely with the Sales and Catering team and requires proficiency in Full Service Marriott PMS (FSPMS), ProfitSword, and the Toast POS system.
Essential Functions
Income Audit
- Perform daily income audit to validate room, tax, food and beverage, and miscellaneous revenues
- Balance daily reports, research discrepancies, and complete daily system close
- Ensure accuracy of revenue postings from FSPMS, Toast POS, and related systems
Accounts Receivable, Billing & Deposits
- Prepare and maintain guest, group, and city ledger billings
- Monitor and reconcile group and event deposits per contractual schedules, coordinating with Sales and Catering to ensure timely receipt and proper application
- Reconcile A/R balances and assist with aging reviews and follow‑up
- Ensure billing documentation is complete and compliant with brand and internal standards
Guest & Internal Communication
- Handle guest calls related to folios, invoices, billing inquiries, and account disputes
- Serve as a liaison between Finance, Front Office, and Sales to resolve billing issues
Chargebacks
- Respond to credit card chargebacks and billing disputes by researching transactions, compiling and submitting required documentation per brand and processor requirements, and tracking activity through resolution
Systems, Reporting & Controls
- Utilize Full Service Marriott PMS (FSPMS) for folio research, billing, deposit application, and revenue verification
- Reconcile food and beverage revenues using the Toast POS system
- Use ProfitSword to support daily and periodic financial reporting
- Assist with month‑end close, audit requests, and financial reviews
- Respond to Internal Audit requests and provide required documentation and support as needed
- Maintain compliance with Marriott brand standards, internal controls, and confidentiality requirements
Qualifications
Required
- 1-3 years of hotel accounting experience
- Working knowledge of income audit, accounts receivable, and deposit tracking
- Proficiency in Full Service Marriott PMS (FSPMS)
- Experience using ProfitSword
- Strong attention to detail and organizational skills
- Professional telephone presence and guest‑service mindset
Preferred
- Full‑service Marriott hotel experience
- Experience with Toast POS or similar restaurant POS systems
- Degree or coursework in Accounting, Finance, or Hospitality Management
- Experience supporting group billing and Sales & Catering processes
