Job Description

Job Title: House Manager & Light Home Office Admin (with Meal Prep Support)

Location: Irvine, CA 92618

Employment Type: Part-Time (approximately 20 hours/week, with occasional weeks up to approx. 25 hours depending on schedules and projects)

Start Date: ASAP

Compensation: $28-30/hour (based on experience)

Requirements:

  • Maintain a smoke-free environment
  • Up-to-date vaccinations (TDAP, MMR, COVID, flu)
  • Reliable transportation

Proposed Schedule:

  • Hours: approximately 20 hours/week, with flexibility for occasional heavier weeks
  • Days: Monday–Friday, starting at 7:00 AM to approximately 11:00 AM
  • Occasional weekend availability for special projects

Employment Type: 1099 Contractor

Compensation & Benefits:

  • Hourly Rate: $28-30/hour (based on experience)
  • Mileage Reimbursement: For work related tasks in personal vehicle

About the Family:

We are a fun-loving, energetic family with two elementary-age children who are always on the go and a full schedule that evolves throughout the year. We could definitely use an extra set of hands to keep everything running smoothly.  Our days balance school, activities, and a dedicated home office, and we're looking for someone who can keep up with our busy routine and bring a little extra order to the mix.

This person will play a key role in creating an organized home environment -- someone who notices what needs attention and takes care of it, so things don't pile up. While no two days are exactly the same, the work is grounded in creating reliable systems that make daily life easier and more predictable for the family.

Core Responsibilities:

Household Management & Organization:

  • Maintain household organization systems (closets, storage, pantry, toys)
  • Reset and tidy rooms daily; maintain overall neatness, ensure home is prepped for cleaning services
  • Load/unload dishwasher, wipe surfaces, vacuum high-traffic areas 
  • Prepare and coordinate donation drop offs and pick ups
  • Coordinate with service providers: landscaper, house cleaner, handyman

Meal Planning & Preparation:

  • Plan and prep healthy lunches, dinners, and snacks for adults and kids (5-7 days/week, primarily through batch cooking)
  • Pack school lunches and snacks (5 days/week)
  • Shop for groceries (or order online) and meal-related items
  • Follow dietary needs and family preferences (selective eater and a vegetarian)
  • Clean kitchen post-prep and manage kitchen tidiness
  • Batch cooking option for efficiency
  • Focus on everyday meals; no gourmet cooking or entertaining
  • Focus on healthy, nutrition-conscious family meals

Home Office Support & Light Administrative Responsibilities:

  • Help keep the home office workspace tidy, organized, and functional day-to-day (this includes basic organization and administrative help, rather than executive-level or business management support)
  • Maintain orderly physical files; assisting with filing, scanning, and shredding
  • Help organize digital and paper documents as directed

Laundry & Linen Care:

  • Wash, dry, fold, and organize family laundry (clothing, bedding, towels)
  • Manage linens: rotate bedding, refresh towels, restock essentials
  • Keep laundry areas tidy and well-stocked with supplies
  • Handle special care for delicates or uniforms

Vehicle Management:

  • Ensure vehicles are cleaned, organized, and free of clutter

Vendor & Property Oversight:

  • Schedule and supervise service providers (e.g., cleaner, landscaper, handyman)
  • Prepare the home ahead of service visits (e.g., tidying areas, moving toys or items), and reset after service provider completes work
  • Be present during service visits when appropriate and help ensure work is completed as expected
  • Research service providers (as needed), gather and track quotes, and maintain records of providers contacted and pricing discussed for future reference
  • Track payments, and basic records of work completed (who, when, and what)
  • Monitor and flag needs beyond routine services (e.g., areas needing extra attention)
  • Defer to employer on decisions, scope changes, and approvals before authorizing work or payment
  • Role does not include managing major renovations or large construction projects

Family Support & Child Assistance:

  • Provide back-up assistance with school/activity pick-ups or drop-offs
  • Prep backpacks, clothing, uniforms, activity items, and/or snacks for school and after school activities 

Activity & Schedule Logistics Support:

  • Assist with calendar coordination and flag timing or transportation constraints across changing schedules and seasonal programs
  • Help organize information provided by parent (e.g., calendars, sign-up details) (this role supports execution and logistics, not primary decision-making around activities, camps, or academic planning)

Deep Cleaning & Special Projects (Ongoing / Phased):

  • Tackle occasional deep cleans (fridge, oven, washing machine, baseboards, etc.)
  • Organize and refresh storage areas such as cupboards, drawers, closets, storage room, garage, and children's spaces
  • Help sort, organize, and systematize paper, schoolwork, artwork, photos, and household records (physical and digital)
  • Support home refresh projects by researching options, coordinating vendors, and overseeing light improvement work (e.g., painting)
  • Assist with room refreshes and upgrades (e.g., children's rooms, furniture replacements, storage solutions), including gathering ideas and coordinating execution, with homeowner retaining final decisions
  • Proactively notice wear, clutter, or gaps in household setup (e.g., items needing repair, replacement, touch-ups, or refresh) and flag or coordinate next steps
  • Approach projects one area at a time, prioritizing based on needs and timing

Inventory Management & Errands:

  • Proactively track and restock pantry, fridge, toiletries, and household supplies so essentials are consistently on hand
  • Create and maintain running household supply lists
  • Coordinate and manage household orders (e.g., Amazon, Target, groceries), with an eye toward efficiency and batching
  • Run routine errands as needed, such as grocery shopping (unless ordered by delivery), facilitating returns 
  • Handle package pickup, mail sorting, and deliveries
