Overview
Job Description
This is a hybrid 4 days a week downtown Chicago, Il AND 4 month contract to start.
Responsibilities
- Provide administrative support to HR leadership including scheduling, travel coordination, expense reporting, and preparing materials for HR Town Halls and Learning Series sessions.
- Manage HR-related invoice processing and billbacks (Legal, special projects, contractors/taskforce, translation vendors, wellness programs, First Aid, etc.).
- Maintain and update HR Leader workflows, including system ticket setup, HRD movement reporting, weekly communications, and support structure tracking.
- Coordinate HRD Orientation sessions twice annually, overseeing scheduling, communication, and materials.
- Support HR communications including internal channel posts, monthly reporting cycles, and coordinating the content calendar.
- Compile and distribute Talent Development reports (IDPs, Mid-Year/EOY Check-Ins, compliance training, program participation).
- Maintain Talent Development databases, including GM Development Program participants and the GM pipeline.
- Support logistics for GM Development Programs (room reservations, materials, participant communication) and manage surveys and leadership assessment administration.
- Assist Talent Acquisition with reporting and tracking for the TA Opt-In Program and university recruiting initiatives.
- Prioritize workload independently, recommend process improvements, and escalate decisions involving policy, financial impact, or risk.
- Pay: 20-27/hr
Qualifications
- 2–4 years of HR coordination, administrative support, or operations experience.
- Experience in invoice processing, reporting, scheduling, or program coordination preferred.
- Background supporting multiple leaders in a fast-paced HR environment.
- Strong proficiency in Microsoft Excel, PowerPoint, and Outlook.
- HR systems experience a plus.
- High school diploma required; bachelor’s degree preferred.
