Job Description

Pro Resources is seeking an HR Administrator/Office Manager for a client in Fort Wayne, IN. The HR Administrator/Office Manager is responsible for providing comprehensive support in the day-to-day operations of human resources, ensuring the efficient delivery of payroll, the recruitment processes, employee benefit administration, new employee orientation and on-boarding, and the accuracy and maintenance of employee records. The HR Administrator works closely with other departments to provide customer-focused, effective HR service to the organization for the achievement of the organization’s goals and objectives.   The job is responsible for ensuring that all administrative activities are efficiently addressed. Shift and Compensation 
  • Monday-Friday 8-4:30 PM
  • Compensation is from 55,000 USD to 65,000 USD per year
Job Duties
  • Develops, plans, and directs daily human resource operations including establishing and implementing human resource policies.
  • Remain informed and educated about regulations and standards applicable to company as well as management issues.
  •  Prepares and posts job advertisements, screens applications, arranges interviews, performs interviews, maintains applicant tracking and administers pre-employments tests and screening as required.
  • Conducts interviews, reference checks, criminal history checks, and other needed background and eligibility checks for all applicants.
  • Performs new hire orientation including new hire documentation, skills training, testing, and education.
  • Implements employee recognition programs.
  • Prepares documentation for new hires, or changes in pay, status or benefits.
  • Establishes, maintains and controls employee records, recruitment records, files, correspondence, reports, and organization charts.
  • Manages sensitive and confidential matters including employee relations, organization changes, and protects the security of information, data and files.
  • Responds to and processes various requests from managers, employees and others.
  • Exercises individual judgement when dealing with potential or real issues and brings them to Executive Director’s attention.
  • Interprets, assists and advises employees and managers regarding leave management and benefit administration, and HR procedures and policies within the specified guidelines.
  • Conducts research, gathers data and statistical reports, and maintains statistical information.
  • Coordinates training events or programs and recommends resources, as needed.
  • Keeps up to date on current issues and matters in the organization related to HR department.
  • Maintains updated/current job descriptions.
  • Maintains and monitors records of employee benefits and salary.
  • Maintains employee files by handling changes in employee status in timely manner.
  • Prepares paperwork needed to create new employee profile and to place new employee on payroll.
  • Manages employee evaluation process.
  • Interacts with and supplies information to employees, department heads, and job applicants.
  • Allocates, assigns and monitors all of the administrative resources for the Company to enable successful task performance.
  • Backup receptionist and administrative assistant duties as required.
  • Performs routine tasks required to administer and execute human resource programs including but not limited to compensation, benefits, and leave; disciplinary matters; disputes and investigations; performance and talent management; productivity, recognition, and morale; occupational health and safety; and training and development.
  • Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  • Monitors wage, salary, and benefit structures in the community and makes recommendations to the Executive Director for adjustments.
  • Maintains all personnel files according to state and federal laws and regulations.
  • Assists in budget preparation for the Human Resource department.
  • Monitor the employee record system for proper documentation and evaluation.
  • Monitor and take reasonable steps to ensure:
    1. Compliance with applicable Federal, State and Local laws and professional standards are maintained.
    2. Compliance with established policies and procedures.
    3. Ensure that the numbers and qualifications of personnel available to provide and supervise services are sufficient to implement the plans of care and treatment of clients.
  • Participates in agency quality improvement activities.
  • Maintain all confidential information in regards to clients, employee information, and company information.
  • Comply with HIPAA regulations in and out of the office.
  • Accepts responsibility for personal and professional development and identifies learning/developmental needs to supervisor.
  • Participates in required on-call scheduler after hours rotation including answering after hour messages, covering call offs and other requirements.
Background Profile
  • Preferably one year’s experience in management or human resources.
  • Thorough knowledge of employment related laws and regulations.
  • Thorough knowledge of payroll related laws and regulations.
  • Knowledge of employment benefits and experience in workers’ compensation claims.
  • Excellent oral and written communication and presentation skills.
  • Excellent interpersonal, negotiation, and conflict resolution skills.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • People management skills and the ability to network and manage a team.
  • Excellent organizational and time management skills.
