We are seeking a highly organized, bilingual HR & Safety Site Coordinator to support daily workforce operations at the job site. This role serves as a key administrative partner to the HR and Safety teams by assisting with employee onboarding, maintaining workforce documentation, coordinating required site orientations, and supporting a positive and compliant workplace culture.
The ideal candidate is detail-oriented, approachable, and able to balance strong administrative skills with a people-focused presence while maintaining the highest level of confidentiality.

What you’ll be doing:
- Support workforce onboarding by coordinating site orientation requests, preparing onboarding documentation, and ensuring all pre-site requirements are completed.
- Maintain employee and site documentation including uploading certifications, compliance documents, and workforce records into internal systems.
- Assist with Workforce Hub assignments and other workforce tracking tools to ensure employees are properly aligned with job site requirements.
- Ensure all workforce documentation, certifications, and onboarding requirements meet client and site compliance standards before employees begin work.
- Serve as an onsite administrative resource for HR and Safety by organizing records, tracking required training, and supporting compliance documentation.
- Help facilitate smooth communication between field employees, HR, Safety, and site leadership.
- Support cultural pulse checks by assisting with employee engagement initiatives, gathering feedback, and helping promote a positive workplace environment.
- Provide bilingual communication support for employees to ensure understanding of onboarding steps, policies, and workplace expectations.
- Maintain strict confidentiality when handling employee information, investigations, or sensitive documentation.
- Assist with general administrative tasks that support site workforce operations.
Qualifications:
- Bilingual in English and Spanish required.
- 2+ years of administrative, HR, safety, or workforce coordination experience preferred.
- Strong organizational skills with the ability to manage multiple tasks and documentation requirements.
- Comfortable interacting with employees in a field or job site environment.
- Professional, approachable personality with strong interpersonal skills.
- High attention to detail and ability to maintain confidentiality.
- Experience with HR systems, document management systems, or workforce tracking platforms preferred.
- Proficiency with Microsoft Office or similar administrative tools
