Job Description

Location: Rochester, NYStatus: PartTime, nonexempt (25 hours/week)

Hourly Rate: $21.57 – $25.12 per hour, based on experience and qualifications

Schedule: Hybrid (minimum 3 days onsite per week); schedule may vary based on payroll cycles and organizational needsDepartment: AdministrationReports To: Human Resources Generalist

Position Summary

The Human Resources Coordinator supports daytoday human resources operations with primary responsibility for payroll administration, leave management, and HR systems coordination. This role serves as a key point of contact for employee HR inquiries and provides secondary support for recruitment and onboarding functions as needed.

The HR Coordinator works under the direction of the HR Generalist and collaborates closely with Finance to ensure accurate payroll processing, compliant leave administration, and timely maintenance of employee records. This position plays a critical role in promoting a compliant, equitable, and peoplecentered workplace aligned with the organization’s mission of healing, recovery, and community wellbeing.

Essential Duties and Responsibilities

Payroll & HR Operations

  • Coordinate and support biweekly payroll processing in collaboration with Finance to ensure accuracy and timely submission
  • Maintain employee data related to hires, terminations, compensation changes, and job status in the HRIS
  • Ensure accurate tracking of time and attendance, leave accruals, benefit deductions, and pay adjustments
  • Respond to employee inquiries related to pay, timekeeping, and payroll deductions
  • Assist with preparation of HR documentation and reports for audits, funders, and internal review

Leave Administration & Compliance

  • Administer employee leaves of absence, including NY Paid Family Leave (PFL), NY Disability, FMLA, and other applicable federal, state, and local leave programs
  • Track leave balances, usage, and documentation to ensure compliance with applicable laws and organizational policies
  • Communicate clearly with employees and managers regarding leave processes, timelines, and documentation requirements
  • Maintain confidential leave records in accordance with legal and recordkeeping requirements

Recruitment & Onboarding (Backup Support)

  • Provide secondary/backup support for recruitment activities, including job postings, interview scheduling, and candidate communications
  • Support onboarding processes by coordinating new hire paperwork, orientations, and employment eligibility verification (I9) documentation
  • Ensure completion and secure retention of required onboarding materials

Employee Support & HR Compliance

  • Serve as a first point of contact for routine HR questions from employees and managers
  • Maintain employee personnel files in accordance with NYS labor law and organizational record retention requirements
  • Respond to employment verification and unemployment insurance inquiries
  • Support compliance with wage and hour laws, including proper classification of nonexempt and exempt roles
  • Maintain strict confidentiality of employee information at all times

HR Systems, Reporting & Continuous Improvement

  • Maintain and update employee records in HRIS and other internal systems
  • Track HR metrics such as leave utilization, turnover, and training completion
  • Compile data for audits, surveys, and funder reporting
  • Identify opportunities to improve HR processes, documentation, and employee experience
  • Stay current on changes in federal and New York State employment laws and HR best practices

Supervisory Responsibility

This position does not have direct supervisory responsibility but may provide guidance to interns or support HRrelated special projects.

Qualifications

Required

·        A bachelor's degree in Human Resources, Business Administration, or a related discipline, with 1-2 years of relevant experience or an equivalent combination of education and experience

  • Demonstrated knowledge of New York State employment laws, including wage and hour and leave requirements
  • Strong attention to detail and ability to manage confidential information
  • Proficiency with HRIS systems and Microsoft Office applications

Preferred

  • Experience in a nonprofit, healthcare, or human services environment
  • HR certification (PHR, SHRMCP)

Work Environment & Physical Requirements

  • Primarily officebased with occasional local travel for meetings or trainings
  • Ability to sit or stand for extended periods and lift up to 25 pounds occasionally
