Job Summary: Under the general supervision of the HR Director, the HR Specialist is responsible for performing administrative duties and overall day to day functions within the Human Resources Office. Essential Duties/Responsibilities:Answers incoming phone line and manages the door access for CountyGreets the general public in a polite manner
Schedules and organizes appointments
Prepares new employee orientation packets
Maintains confidentiality and integrity of HR files and records; provides filing for HR DepartmentCreates new employee personnel files, properly stores and retains terminated employee files
Maintains PowerDMS forms and information
Proofreads and types documents and correspondence produced by department
Processes required paperwork for employee transfers, changes in job classification, salary increases and other related employment matters
Assists with development of job descriptions
Creates and posts job announcements and collects job applications as submitted
Coordinates interview process for Department Heads and prepares application packets
Assists with pre-employment coordination, onboarding, and exit interviews
Assists with newsletters and website content
Enters First Report of Injury and maintains OSHA 300 reporting form.Administers benefit enrollments for new hires and makes changes during benefit enrollments
Prepare monthly statistic reports of workplace injuries for Safety Committee and serves as the HR representative member
Enters and updates employee benefit portals as needed
Assist with the planning and execution of special events such as benefit enrollments, organization-wide meetings and trainings and employee recognition events
Performs other related duties within Human Resources, as required General Expectations:Work as a member of a team in the performance of duties

Must be willing to learn new things and be able to adjust as technology and Maine laws and their interpretation change
Must be detail oriented
Ability to establish and maintain effective working relationships with employees, county officials and outside agencies
Ability to communicate effectively, orally and in writing
Proficiency in the use of all standard office equipment is required as well as the use of Microsoft Office SuiteMust maintain a high level of confidentiality and work in a team setting with a high commitment level of customer service
Must be able to multi-task, prioritize and work under pressure with accuracy and alertness to meet deadlines
Must pass a full criminal and motor vehicle background check Education Requirements:High School Diploma or equivalent is required. An Associate's Degree in a relevant field or HR Certification is preferred. One to three (1-3) years of experience in human resources. Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
