Position: HR Staffing Coordinator
Location: Cincinnati, OH
Reports To: President Type:
Full Time Salary: $40,000-$45,000
Bonus/Commission Structure: Quarterly bonus based on personal and company performance
Position Overview
The HR Staffing Coordinator plays a key support role within the recruiting, sales and client service teams by managing administrative processes, coordinating communication, and ensuring day-to-day operations run smoothly. This position serves as a central point of support, helping maintain organization, accuracy, and efficiency across multiple departments while delivering a high level of internal and external customer service.
The HR Staffing Coordinator assists with scheduling, documentation, data management, and reporting, while supporting recruiting and sales activities through accurate tracking, timely follow-up, and clear communication. This role requires strong attention to detail, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
The ideal candidate is proactive, reliable, and professional, with the ability to collaborate across teams, maintain confidentiality, and support business growth through strong administrative execution.
Key Responsibilities
Onboarding & Compliance
· Coordinate all pre-employment requirements, including onboarding paperwork, background checks, drug screenings, and E-Verify documentation.
· Ensure all employee records are complete, accurate, and compliant with company policies and client-specific requirements.
· Conduct monthly company-wide compliance audits and maintain organized personnel files.
· Monitor expiration dates and renewals for background checks, drug screens, and other compliance documentation.
· Manage the Work Opportunity Tax Credit (WOTC) process.
· Complete employment verifications and respond to unemployment claims.
· Assist with new applicant setup and maintenance within the Applicant Tracking System (ATS).
Recruiting & Sourcing
· Source candidates through job boards, resume databases, social media platforms, referrals, and other recruiting tools.
· Review resumes and applications to identify qualified candidates for open positions.
· Conduct initial candidate outreach and pre-screening calls to assess experience, availability, and qualifications.
· Schedule interviews and coordinate communication between candidates and recruiters.
· Post and maintain job advertisements across multiple platforms.
· Update candidate records, notes, and statuses in the ATS.
Client Support & Communication
· Provide administrative support to the Client Service Manager and recruiting team.
· Create and maintain client profiles and enter job orders into the ATS.
· Assist with obtaining workers’ compensation classification codes across multiple states.
· Coordinate interview invitations and open interview events for clients.
Administrative & Operational Tasks
· Answer incoming calls, greet visitors, and assist walk-in applicants.
· Support payroll processing and timesheet collection as needed.
· Manage employee deductions, including insurance premiums and child support orders.
· Assist with marketing materials, job postings, and social media content.
· Perform additional administrative duties as assigned.
Qualifications
· Previous experience in staffing, recruiting, human resources, or administrative support preferred.
· Strong organizational skills with exceptional attention to detail.
· Excellent verbal and written communication skills.
· Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
· Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with ATS and CRM systems preferred.
· Customer-service mindset and professional demeanor.
· Self-motivated, dependable, and team oriented.
Working Conditions
· Full-time, in-office position located in Cincinnati, OH
· Standard office hours are Monday through Friday, 8:00 AM to 5:00 PM.
