Position Summary
The IT Budget Clerk Intern provides essential administrative and financial support to the IT organization. This role focuses on data entry, budget tracking, vendor documentation, and assisting with routine reporting. The ideal candidate is detail‑oriented, organized, and eager to learn how budgeting and purchasing processes work inside a global company.
This internship offers hands‑on experience with budgeting systems, vendor management, and IT purchasing operations.
Key Responsibilities
- Budget Tracking & Administrative Support
- Enter and update IT budget, operating expense (OpEx), and capital expense (CapEx) data.
- Compile routine monthly spend vs. budget summaries.
- Maintain organized budget files, documentation, and shared folders.
- Prepare and distribute standard financial reports to internal stakeholders.
- Vendor & Contract Administration
- Maintain accurate vendor and contract records (contacts, dates, renewal timelines).
- Track contract renewals and route notifications to IT, Procurement, and Legal.
- Support audit and review processes by gathering vendor spend documentation.
- Purchase Order (PO) & Invoice Processing
- Create purchase requisitions and track purchase orders.
- Validate invoices against POs, contracts, and delivery confirmations.
- Coordinate with Procurement, Accounts Payable, and vendors to resolve discrepancies.
- Monitor PO status to ensure timely processing.
- Financial Reporting & Data Quality
- Prepare dashboards, spend summaries, and status updates using standard templates.
- Research and reconcile basic data discrepancies.
- Verify GL codes, cost centers, and vendor information prior to submission.
- Documentation, Compliance & Audit Support
- Assist with internal and external audits.
- Locate required records and provide supporting reports and information.
Required Qualifications
- Currently pursuing a Bachelor's degree in Finance, Accounting, Business Administration, Information Systems, or a related field.
- Strong attention to detail and accuracy in data entry.
- Proficiency with Microsoft Excel and comfort working with spreadsheets.
- Effective communication and organizational skills.
- Ability to work independently and collaborate with multiple teams.
Preferred Qualifications
- Experience working with financial documents (invoices, POs, budgets).
- Exposure to ERP or financial systems (e.g., Workday, SAP, Oracle).
- Interest in IT operations, financial management, or vendor administration.
