Job Description

Specialize in the preparation or compilation of all documentation required for export invoicing as well as foreign customers of U.S. and foreign growth cotton shipments. Train others and initiate process or system improvements for most efficient document preparation.

Primary Responsibilities/Essential Functions

  • Prepare, compile and send out export documentation sets including, invoices and other appropriate documents as required by the shipping instructions, Letters of Credit and/or country standards within a set time frame.
  • Check all documents for accuracy, and customs issues as well as compliance with contract terms, letters of credit, shipping instructions and/or country standards.
  • Ensure copies of all documents are stored and uploaded to appropriate sites.
  • Prepare courier packages to send original sets of documents to the correct agents, buyers or banks.
  • Communicate document status to agents, buyers and related internal customers by best means possible.
  • Prepare and issue controlling orders and enter commissions as needed.
  • Train and mentor team members on document preparation processes.
  • Suggest process and/or system improvements for most efficient document preparation.
  • Maintain excellent knowledge of current banking & trade practices, custom requirements and Incoterms 2010.
  • Perform other related tasks as needed.

Qualifications

Education/Professional Certifications/Licenses

Associates degree or equivalent; Bachelors degree preferred.

Experience

Prior experience in international documentation/agriculture commodity setting preferred; three to five years' work experience in detail oriented and dynamic work environment.

Knowledge/Skills/Abilities (including any physical demands)

  • Minimum 3 years' experience working with an agricultural commodity company or experience with export invoicing, documentation, and letters of credit.
  • Superior computer proficiency is required, including intermediate-level experience with Microsoft applications such as Word, Excel, Copilot, and Power BI. Experience with OneNote and SharePoint is preferred and considered an asset.
  • Demonstrated experience and knowledge of documentation required for export invoicing as well as foreign customs of U.S. and foreign growth cotton shipments. Letters of Credit experience preferred.
  • Must possess strong attention to detail, excellent proofreading and editing skills, and the ability to accurately perform basic mathematical calculations.
  • Functional fluency in business Spanish, Portuguese, Mandarin Chinese or Vietnamese language skills a plus.
  • Exhibit a positive, engaging attitude that fosters teamwork, collaboration, and the ability to unite individuals around common goals.
