Job Description

Inventory Office Coordinator
Job Location: Napa, California
Job Type: Part time, Temporary
Pay Rate: $25-$30/hour
Schedule: Monday - Thursday; 8am-2:30pm
Description of Position:
We are seeking a highly organized and detail-oriented Inventory Office Coordinator to support daily office operations, inventory management, marketing projects, and employee engagement initiatives. The ideal candidate is organized, dependable, and proactive, with a positive attitude and willingness to support a variety of office, inventory, and marketing functions. This role is perfect for someone who enjoys both administrative work and hands-on operational support.
Job Responsibilities:
Inventory & Administrative Support
  • Assist with receiving, unpacking, organizing, and tracking wine samples
  • Maintain sample inventory records and update tracking systems
  • Create UPS shipping labels and coordinate shipments
  • Generate COLA waivers and update supplier marketing materials and tasting notes
  • Order and maintain office, kitchen, and event supplies
  • Collect and distribute incoming mail
  • Coordinate building maintenance requests with vendors and contractors
  • Respond to office visitors and doorbell inquiries
Marketing Support
  • Assist with creating marketing materials using PowerPoint, Xtensio, and Mailchimp
  • Update company website content and employee information through the WIX platform
  • Support holiday gift programs and special marketing projects
Employee Engagement & Events
  • Help coordinate team events, meetings, and celebrations
  • Order food, beverages, and supplies for company functions
  • Assist with setup and cleanup of wine tastings and office events
Description of Company:
You will be supporting a well-established wine wholesaler and importer in Napa, California.
Experience Required:
  • Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook
  • Strong organizational and time management skills
  • Excellent attention to detail and accuracy
  • Ability to manage multiple priorities and deadlines
  • Strong communication and problem-solving skills
  • Self-motivated and able to work independently
  • Experience with shipping label generation required
  • Data management experience preferred
  • Familiarity with Mailchimp, WIX, or similar platforms is a plus
