Position Overview

We are seeking an analytical, detail-oriented Inventory Control Reconciliation Research Specialist to join our Inventory Control department. In this role, you will perform cross-system data research and root-cause analysis to reconcile inventory discrepancies, ensure data accuracy, document investigation findings, and help route corrective actions to the appropriate operational teams.

Key Responsibilities

  • Cross-System Research: Investigate, track, and resolve complex inventory variance issues by querying and cross-referencing data across multiple enterprise software systems and ERP platforms. Trace individual parts across inventory balances, receipts, sales orders, purchase orders, shipment and invoice history, warehouse transactions, and physical counts.
  • Inventory Reconciliation: Conduct detailed audits and line-item reconciliations between physical counts, system records, receiving logs, and transaction histories. Compare original count information with subsequent activity to determine whether a discrepancy is still open, has been corrected, or is the result of timing.
  • Root-Cause Analysis: Identify systemic errors, process bottlenecks, or data-entry discrepancies that lead to inventory variances and recommend corrective actions.
  • Data Analysis:Use advanced Excel skills to analyze receipts, inventory transactions, sales orders, and other large datasets across multiple customers and years. This role will use existing data and reports to support investigations but will not be responsible for building data models or routine management reporting.
  • Investigation Documentation:Maintain clear, complete research and resolution notes, including the specific part and order numbers reviewed, systems and transactions researched, identified root cause, recommended next action, and current resolution status. Preserve the original inventory-count information rather than replacing it with current values.
  • Prioritization and Follow-Through:Manage multiple investigations and prioritize work based on inventory exposure, estimated cost variance, aging, and potential shipment or invoicing impact. Follow assigned items through research, escalation, and resolution.
  • Cross-Functional Collaboration: Partner with warehouse operations, procurement, order management, inside sales, accounting, and finance teams to correct inventory records and improve overall inventory accuracy. Clearly communicate supporting evidence and route issues to the appropriate team when additional action or approval is required.

Qualifications & Requirements

  • Self-Starter & Detail-Oriented: Proven ability to work independently, manage competing priorities, and conduct thorough research with minimal supervision. Demonstrates exceptional attention to detail and commitment to ensuring data accuracy and integrity.
  • Proven Research Experience: Prior experience in inventory control, logistics, order management, accounting reconciliation, transaction research, or data reconciliation, with a demonstrated ability to independently research and resolve complex data discrepancies.
  • Analytical Mindset: Exceptional problem-solving skills with strong attention to detail and data integrity. Ability to reconstruct the history of a part or order using information from multiple sources and distinguish an actual discrepancy from a timing or posting issue.
  • Advanced Excel Proficiency:Strong proficiency with XLOOKUP or VLOOKUP, PivotTables, filters, conditional formulas, duplicate identification, and matching large transaction datasets. Power Query experience is helpful but not required.
  • Multi-System Aptitude: Comfort navigating and pulling data from multiple databases, ERPs, or Warehouse Management Systems. Experience researching inventory, receiving, sales-order, purchase-order, shipment, and invoice records across multiple systems is preferred.
  • Inventory and Order Knowledge:Working knowledge of inventory transactions, receipts, sales orders, purchase orders, shipments, invoices, and warehouse activity. Ability to identify differences in part numbers, item classifications, order relationships, and transaction status is preferred.
  • Communication Skills: Ability to clearly explain and document technical data findings and recommendations to non-analytical team members and leadership. Investigation notes must be specific enough that another team member can understand the finding and reproduce the research performed.
  • Judgment and Escalation:Ability to determine when additional research is required, when sufficient evidence exists to recommend a resolution, and when an issue must be escalated to another team. The role will not independently post inventory adjustments, close orders, or request system changes without appropriate review and authorization.
