The IT Asset Management Lead is an integral part of our Digital Information Delivery team based out of our US - Teaneck, NJ site.

Position Details

The IT Asset & Procurement Lead is responsible for overseeing the lifecycle, tracking, and operational governance of technology assets, including hardware, software, SaaS subscriptions, and related inventory data. This role serves as the primary point of contact for asset management processes and procurement coordination, ensuring data accuracy, policy adherence, cost optimization, and timely vendor engagement. The Lead acts as a senior individual contributor, guiding best practices and supporting cross‑functional teams in IT, Finance, Security, and Procurement.

Key Responsibilities

Asset Lifecycle Ownership

  • Own and maintain accurate asset records from procurement to retirement.
  • Oversee hardware assignments, returns, repairs, and disposals.
  • Manage asset workflows for onboarding and offboarding events.
  • Drive improvements in asset lifecycle process efficiency and automation.

Software / SaaS License Governance

  • Oversee software and SaaS license usage, entitlements, and renewal tracking.
  • Ensure consumption aligns with contract terms and avoid cost overruns.
  • Manage license allocations, deprovisioning, and compliance checks.
  • Provide insights to IT leadership on usage trends and rationalization opportunities.

Data Integrity & System Stewardship

  • Serve as the system owner for ITAM/SAM platforms (e.g., Flexera, ServiceNow, Freshservice).
  • Reconcile data across Finance, Procurement, and IT systems.
  • Conduct regular audits to ensure accuracy, completeness, and policy compliance.
  • Maintain documentation, workflows, and asset standards.

Procurement Support & Vendor Coordination

  • Serve as the primary liaison between Technology and Procurement.
  • Request quotes, validate pricing, and support sourcing decisions.
  • Prepare and submit purchase requisitions for hardware, software, and SaaS renewals.
  • Track orders, deliveries, and vendor lead times to ensure timely fulfillment.
  • Reconcile shipments with purchase orders and update asset systems accordingly.
  • Support vendor reviews by providing usage, inventory, and spend analysis.

Financial Tracking & Reporting

  • Produce asset lifecycle reporting, including refresh cycles and depreciation.
  • Support annual budgeting and forecasting for hardware, software, and SaaS.
  • Identify cost optimization and consolidation opportunities.
  • Provide executive-ready reporting on inventory, spend, and compliance posture.

Compliance, Controls & Audit Readiness

  • Lead preparation for internal and external software audits.
  • Ensure assets comply with IT policies, security standards, and licensing requirements.
  • Track warranties, SLAs, and support contracts.

Cross-Functional Operational Support

  • Serve as the subject matter expert for asset and procurement processes.
  • Support IT Support, Finance, and business units with asset-related requests.
  • Partner with Security to ensure assets meet configuration and tracking standards.
  • Lead continuous improvement initiatives for asset and procurement workflows.

Education & Experience

  • Bachelor's degree in information systems, Business, Supply Chain, or related field - or equivalent experience.
  • 3+ years of experience in IT Asset Management, Procurement Operations, or related technical operations.
  • Proficiency with ITAM/SAM platforms (e.g., Flexera, ServiceNow).
  • Strong Excel and data analysis capabilities.
  • Excellent attention to detail and process accuracy.
  • Ability to influence cross-functional teams and drive process ownership.
  • Strong analytical and data skills.
  • Operational excellence and attention to detail.
