Job Description
The Contract Specialist is a key member of the Strategic Procurement & Contracts (SPC) team and serves as a primary resource for reviewing, drafting, and negotiating contracts related to the procurement of goods and services. This role supports multiple commodities and agreement types and operates with a high degree of independence while ensuring compliance with university policies, standards, and regulatory requirements.
The Contract Specialist partners closely with campus stakeholders and subject‑matter experts to understand business needs, mitigate risk, and achieve mutually acceptable contractual outcomes. The role also provides guidance to internal partners on contract‑related processes and supports the university’s enterprise contract management system.
Contract Management (85%)
- Review, draft, negotiate, approve, and prepare contractual agreements submitted through the university’s enterprise contract management system (BCM), ensuring alignment with university policies and standards.
- Apply and maintain university‑approved terms and conditions prior to routing agreements for execution.
- Serve as a liaison between campus partners, departmental stakeholders, suppliers, and internal subject‑matter experts throughout the contract review and negotiation process.
- Lead and support contract negotiations with suppliers, representing the university’s best interests while working toward mutually beneficial agreements.
- Assess contractual risk, identify potential issues, and recommend practical solutions to achieve business objectives and minimize legal, financial, and operational exposure.
- Provide guidance to campus partners on contract best practices, risk awareness, and policy compliance.
- Collaborate with internal stakeholder groups (e.g., Office of the General Counsel, Environmental Health and Safety, Information Technology, Research Administration, Communications) to support contract reviews and negotiations.
- Conduct research and gather relevant information to support informed contract decision‑making.
- Partner with SPC team members to support contracting needs across various categories of goods and services.
- Coordinate with insurance and risk management stakeholders to ensure appropriate insurance requirements and risk allocation.
- Promote compliance with university policies, procedures, and applicable state and federal regulations.
Contract Management System Support (15%)
- Perform Contract Manager responsibilities within the Jaggaer Contract Lifecycle Management system.
- Monitor the contract request intake queue and route requests to the appropriate reviewing office.
- Maintain working knowledge of the contract management system, workflows, and training documentation.
- Monitor and respond to inquiries received through the shared Contracts inbox, redirecting as appropriate.
- Review contract records for accuracy, completeness, and proper documentation.
- Advocate for and educate campus users on the effective use of electronic signature tools (e.g., DocuSign) within the contract management system.
